Executive Assistant
In-person | Full-time | Monday–Friday 8am-4pm

Location: Meaford, ON

Salary: $60k-$65k+ (open to discussion based on experience)

We are seeking a highly organized and proactive Executive Assistant to support the CEO in a fast-paced, growing business. This role is critical in ensuring the CEO’s day-to-day operations run smoothly, while helping manage priorities, communications, and key initiatives.

You’ll act as a trusted partner, handling both business and personal tasks with discretion, efficiency, and strong attention to detail.

Key Responsibilities

Calendar & Schedule Management

  • Manage and coordinate the CEO’s calendar, balancing business and personal commitments
  • Ensure all meetings are properly scheduled with relevant details and materials

Email & Communication Management

  • Monitor and prioritize inbox communications
  • Flag key items and respond on behalf of the CEO where appropriate

Meeting & Travel Coordination

  • Organize meetings, prepare agendas, and ensure follow-ups
  • Coordinate all travel arrangements including flights, accommodations, and transportation

Administrative & Operational Support

  • Review invoices and assist with administrative process improvements (e.g., SOP updates)
  • Track expenses and support basic financial oversight

Project & Task Management

  • Track ongoing projects, deadlines, and deliverables
  • Prioritize tasks based on business impact and strategic goals

Stakeholder & Team Communication

  • Act as a liaison between the CEO and internal/external stakeholders
  • Ensure clear, timely communication across teams

Personal & Executive Support

  • Manage personal appointments and tasks
  • Handle purchasing (business and personal), ensuring accuracy and approvals

Problem Solving

  • Anticipate challenges and proactively resolve issues before escalation

Qualifications

  • 3+ years of experience as an Executive Assistant or in a similar role
  • Strong organizational, multitasking, and time management skills
  • Excellent written and verbal communication
  • Tech-savvy with experience using calendar tools, project management platforms, and Microsoft Office or similar
  • High level of discretion and professionalism when handling confidential information
