
The Executive Assistant provides high-level administrative, organizational, and operational support to a senior executive within a growing wellness and health manufacturing company. This role is integral in enabling executive leadership to focus on strategic initiatives, business performance, and cross-functional collaboration across a fast-paced, regulated environment.
The ideal candidate is highly organized, proactive, and comfortable managing complex priorities while maintaining discretion and professionalism. This position plays a key role in supporting executive operations, leadership coordination, and strategic initiatives that drive company growth.
Manage the Executive's calendar, including scheduling meetings, prioritizing commitments, and coordinating travel arrangements.
Prepare and organize materials for executive meetings, leadership reviews, and strategic planning sessions.
Draft, edit, and format presentations, reports, and executive communications.
Serve as a key point of contact between the Executive and internal departments, external partners, and senior leadership.
Support the preparation of board materials, leadership updates, and executive reporting packages.
Track action items, deadlines, and follow-ups to ensure timely execution of priorities.
Coordinate logistics for executive meetings, audits, compliance-related activities, and special projects.
Maintain confidentiality of sensitive business, operational, and financial information at all times.
Assist with expense reporting, travel coordination, and administrative processes.
Support cross-functional communication between finance, operations, manufacturing, and leadership teams.
Help improve executive workflows and administrative efficiency across the organization.
Assist with document management, reporting organization, and internal process coordination.
Bachelor's degree in Business Administration, Finance, Communications, or a related field preferred.
3–5 years of experience supporting senior executives, preferably at the C-suite or executive leadership level.
Experience in wellness, health, consumer products, life sciences, or regulated manufacturing environments is a plus.
Strong organizational and time-management abilities.
Excellent written and verbal communication skills.
Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word).
Ability to manage multiple priorities in a fast-paced environment.
High level of professionalism, discretion, and confidentiality.
Strong attention to detail and follow-through.
Ability to work independently while supporting executive-level decision-making.
Experience coordinating meetings, reporting, and cross-functional initiatives.
Compensation: $75,000-85,000
Schedule: Monday- Friday 9:00 am - 5:00 pm
This role will be fully onsite in Fort Lauderdale
