Job Description

Role Mission & Mandate
As the Executive Assistant to the VetStrategy Executive Leadership Team, you will report directly to the Chief Executive Officer and support other members of the C-suite including the Chief People Office and Chief Financial Officer. We are seeking a highly polished, energetic, detail-oriented administrative professional who enjoys working in a fun, fast-paced environment with a great corporate culture.

Administrative Excellence
• Executive Admin Oversight — Lead high level administrative functions, confidential communications and sensitive matters with discretion.
• C Suite Scheduling — Manage complex calendars and priorities for the CEO and executive team.
• Presentation Design — Build visually sharp slide decks translating executive insights into clear, influential narratives.
• Expense Management — Oversee receipts, credit cards, and timely expense reporting.
• Document Routing — collaborate with the Office Supervisor to prioritize and route documents requiring CEO signature, ensuring efficient and prioritized workflow.
• Meeting Coordination — Schedule, support, and capture minutes for key meetings.
• Executive Engagements — Manage registrations, memberships, and event participation to maintain seamless executive representation across conferences and industry functions.
• Ad Hoc Support — Execute special projects and shift priorities with agility.

Meeting Planning & Logistics
• Travel coordination — Manage domestic and international travel planning, end to end logistics across flights, hotels, and ground transportation.
• Executive meeting support — Anticipate and prepare for Executive Leadership, Board, and Business Development meetings with on-site support during key sessions.
• Itinerary and logistics planning — Partner with the CEO to build streamlined itineraries and logistics for board meetings, market visits, and leadership events.

Leadership of Office Supervisor
• Document oversight — Collaborate and oversee the Office Supervisor to ensure on-time handling of time sensitive legal, compliance, and regulatory documents requiring executive signatures.
• Operational alignment — Provide guidance to the Office Supervisor to keep office operations aligned with Executive and Leadership Team needs, especially for meeting preparation and executive level coordination.

Experience Profile
• 5 to 8 years of support experience, preferably at the C-suite level
• Ability to maintain a high degree of professionalism while working with deadlines
• Ability to handle highly confidential material and correspondence
• Superior communication skills (both oral and written) and ability to use good judgment
• Highly organized with the ability to multitask
• Anticipate needs and proactively act accordingly
• The ability to work independently and be accountable but also works well within a team setting
• Detail-oriented and proactive approach
• Sense of urgency; proven ability to set priorities and handle multiple tasks simultaneously
• Strategic thinker with an innovative spirit
• Advanced Microsoft Office / Google Suite skills
• A people person. Ability to maintain positive, productive relationships with both internal and external business partners
• Comfortable being around pets when visiting the office
