About The Role

An exciting opportunity has become available to join Melbourne Water as an Executive Assistant, reporting to Craig Dixon the Executive General Manager, New Water & Commercial Projects Team.

This is a pivotal role supporting a newly established team to assist us in achieving our New Water delivery program milestones & timeframes of our Commercial Projects to achieve renewable energy initiatives.

As the Executive Assistant you will be responsible for providing a high level of professional support to the EGM and the Senior Leadership Team of four direct reports.

This opportunity is fixed term until June 2027, part time, 4 days per week, based at our head office in the Docklands, with infrequent travel to other locations as required.

Monday’s will be based in the office and offer flexibility across Tuesday to Friday – hybrid working arrangements are a minimum of two days per week in the office.

Some key responsibilities will include:

  • Provide high-level executive support in a fast-paced environment.
  • Be an essential part of facilitating the efficient delivery of the portfolios functions.
  • Coordinate the portfolios business reporting activities and manage the interfaces with wider business processes and timelines.
  • Coordinate leadership materials and liaise with other statutory regulatory bodies and Government departments.
  • Assist the EGM with scheduling meetings, diaries and calendar management.
  • Plan and document management team meetings and wider group communication and engagement activities.
  • Ensure a high-level overview of key issues occurring across the group, the business and the broader industry, and make the management team aware of any key risks or opportunities.
  • Provide calendar coordination and event scheduling with internal and external customers and stakeholders.
  • Drive and identify key pieces of work in order to support a functioning portfolio
  • Navigate workflow requests and approvals – follow up or escalate as needed.
  • Ensure general group administrative, staff induction support, and routine purchasing functions are carried out in accordance with policy.
  • Be involved in cross business improvement projects as required.
  • Assisting with preparation of Board Papers when required.

About You

Previous experience supporting Senior Leaders or an Executive Team or experience in a similar role is essential with the ability to be flexible, efficient and adaptable whilst managing multiple and competing priorities, facilitating various requests promptly with urgency and maintaining confidentiality.

Your Skills and Experience

  • Demonstrated experience supporting senior executives and leaders
  • Sense of urgency and proactive attitude
  • An enthusiastic and dynamic approach when faced with pressure of tight deadlines and conflicting demands
  • Highly motivated, deadline driven and sense of urgency essential to the role
  • Strong Microsoft Office skills and overall technical confidence
  • Ability to maintain a high level of discretion and manage confidential information
  • Problem solving skills, including the ability to deliver the appropriate outcomes
  • Sound interpersonal skills and an ability to communicate clearly and effectively with a wide range of people both within Melbourne Water, external organisations and with the general public
  • Ability to work and contribute to a team environment to improve processes, respond to various demands and manage multiple activities simultaneously

This role is a level 6 and the starting salary is $118,900 package - full time equivalent and will be paid pro-rata for the part time arrangement.
