The expected starting base salary for this position is $80,282 to $83,858 annually, depending on a variety of factors including qualifications and experience. Once hired, you will progress through a wider salary range over time as you continue to develop job knowledge, skills and competencies for the role.

What you will be doing

The Executive Assistant (EA) provides confidential administrative support to the Registrar/CEO, the Chief Officers, and the Executive Office. Responsibilities include managing the Registrar/CEO’s agenda, coordinating the Chief Officers’ agendas with the Registrar/CEO’s, ensuring accurate and timely delivery of administrative services, logistical arrangements, and events, including the coordinating of internal staff activities, external partners (visiting dignitaries, etc.) meetings with the College Senior Leadership team handling and managing calls and correspondence directed to the Registrar/CEO, and managing travel arrangements. The EA provides confidential support to the Registrar/CEO regarding personnel matters, in particular related to the Senior Leadership Team.

Key responsibilities include:

  1. Acts as first point of contact for matters referred to the Registrar/CEO Office, resolves problems and takes necessary follow-up action as appropriate.
  2. In consultation with the Registrar/CEO, produces and distributes a variety of documents including confidential correspondence, meeting agendas, minutes, and reports. Research and compiles information for presentations and reports.
  3. Manages the Registrar/CEO calendar and arranges or directs the arrangement of appointments, schedules and itineraries for the Registrar/CEO.
  4. Tracks, reads, and analyses all incoming internal and external correspondence, Registrar/CEO email, submissions, and reports to prioritize requests. Manages document distribution and retention, responds independently to routine correspondence, or drafts responses as required.
  5. Organizes and coordinates background materials for meetings, prepares agendas, records minutes, and tracks completion of action items.
  6. Provides confidential support to the Registrar/CEO in personnel matters related to the Senior Leadership Team, including terms of employment, salaries, performance management and termination of employment contracts.
  7. Coordinates with the Executive Office Coordinator to ensure the smooth functioning of the Executive Office and provide coverage as needed.
  8. Coordinates the Chief Officers agendas with the Registrar/CEO to ensure the strategic coordination of senior staff within the College, including the monitoring of vacation scheduling and coverage.
  9. Makes travel arrangements for Registrar/CEO.
  10. Responsible for ensuring logistical support for meetings involving the Registrar/CEO, including booking meeting rooms, accommodation, and catering.

Your education & skills ​

  • Business administration or office administration degree, or a diploma plus an equivalent combination of administrative and technical skills and experience.
  • 5 to 7 years of experience in progressively senior administrative positions
  • Advanced knowledge and experience using all applications of the latest version of MS Office, SharePoint, Adobe Acrobat, One Note and MS Dynamics CRM.
  • Excellent verbal and written communications skills.
  • Proven ability to demonstrate tact and discretion in preparing, disclosing, and handling information of a confidential and/or sensitive nature.
  • Excellent interpersonal skills to provide effective administrative support at a senior management level.
  • Excellent organizational skills and attention to detail.
  • Proven ability to multi-task and prioritize workload and to work under pressure to meet deadlines.
  • Ability to demonstrate flexibility to changing priorities or changing situations and to new ideas and concepts.
  • Ability to work independently or collaboratively as required.
  • Demonstrated experience producing digitally based materials and resources.
  • Demonstrated systems knowledge related to the role of Executive Assistant within a technologically progressive environment.
  • Experience providing support to employees at the senior leadership level and to a board of directors an asset.
  • Knowledge of Canadian colonial impacts on Indigenous people in social and health contexts, including social, economic, political, and historical realities impacting Indigenous communities and knowledge of Indigenous-specific anti-racism and accompanying reports (e.g. The Truth & Reconciliation Commission’s 94 Calls to Action (2015), the In Plain Sight Report (2020), and Reclaiming Power and Place’s Calls for Justice (2019)) is an asset.
  • Demonstrated understanding of equity, diversity, inclusion, and cultural humility as they apply to health care is an asset.
