We are seeking a highly organized, proactive, and discreet Executive Assistant to support the Chief Financial Officer (CFO). This role is critical in ensuring the smooth operation of the executive suite by managing schedules, coordinating communications, and supporting high-level financial and operational initiatives.

The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and maintains strict confidentiality when handling sensitive financial and business information. This position will also provide coordination support for Board of Directors meetings and other members of the executive leadership team as needed.

Duties/Responsibilities

  • Manage complex calendars, including scheduling meetings, calls, and travel arrangements.

  • Prepare, review, and organize documents, reports, and presentations for executive meetings.

  • Coordinate and support Board of Directors meetings, including scheduling, agenda preparation, distribution of board materials, and meeting logistics.

  • Assist in preparing board presentations, financial reports, and executive summaries.

  • Support the preparation of materials for earnings calls, investor meetings, and executive briefings.

  • Track key action items and follow up on priorities from executive and board meetings.

  • Provide administrative and coordination support to other C-suite executives and senior leadership as needed.

  • Maintain organized digital and physical filing systems.

  • Handle confidential financial and corporate information with discretion and professionalism.

  • Support special projects, research, and strategic initiatives as directed by the executive.

Required Skills/Abilities

  • High School degree required. Bachelor’s degree in Business Administration, Finance, or related field preferred.

  • 3–7 years of experience supporting senior executives, ideally in healthcare, finance or corporate environments.

  • Experience supporting executive leadership teams or C-suite executives.

  • Strong organizational, time management, and multitasking abilities.

  • Excellent written and verbal communication skills.

  • High proficiency in Microsoft Office (Excel, PowerPoint, Outlook) and collaboration tools.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Experience coordinating Board of Directors meetings desired.

  • Must have familiarity with financial terminology and reporting processes.

  • Experience preparing board materials or investor presentations desired.

  • Must possess strong problem-solving skills and proactive mindset.
