The Executive Assistant provides high-level administrative and support to senior leadership, playing a key role in the efficient day-to-day operation of the business. This position combines traditional executive support functions, including calendar management, travel coordination, and document preparation; with hands-on accounting responsibilities such as administrative accounting functions, invoice processing, and month-end close support for the accounting team at RMC.
The ideal candidate is a discreet, highly organized professional with proven experience supporting senior leadership and a functional knowledge of accounting. Experience in a construction, transportation, or industrial environment is a strong asset. A commitment to safety, professionalism, and continuous improvement are essential qualities for success in this role.
Responsibilities
• Manage and maintain the executive's calendar, scheduling meetings, appointments, and travel arrangements.
• Research and book flights, hotels, and ground transportation for executive travel including managing itineraries and travel changes as needed.
• Screen and manage incoming correspondence including email, phone calls, and mail while prioritizing and redirecting as appropriate.
• Prepare, proofread, and format reports, presentations, correspondence, and other documents on behalf of senior leadership.
• Coordinate and prepare materials for internal and external meetings including agendas, minutes, and follow-up action items.
• Manage confidential information with the highest level of discretion and professionalism.
• Track and follow up on outstanding action items, commitments, and deadlines on behalf of ownership.
• Assist with planning and coordination of company events, meetings, and special projects.
• Provide general administrative support including filing, document management, and office supply coordination.
• Support the finance and accounting team with general administrative support, when available.
• Serve as a point of contact for clients, customers, and external stakeholders on behalf of ownership.
• Follow up with customers and clients regarding outstanding items, requests, and communications as directed.
• Liaise with contractors, suppliers, and partners on behalf of ownership, as required.
• Maintain accurate records of client communications and follow-up activities.
• Process and reconcile credit card statements and ownership expense claims.
• Champion the RMC safety culture, leading by example, including attending safety meetings, signing off on weekly HSEs, wearing PPE when required, identifying hazards, participating in safety investigations, etc.
• Perform other tasks as required.
Qualifications
• Minimum 3–5 years of experience working with a leadership team and/or as an Executive Assistant.
• Experience supporting senior leadership, business owners, and/or C-suite executives.
• Proficiency in Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint.
• Prior experience using administrative, CRM, or other tracking software.
• Post-secondary education in business administration, accounting, or a related field is preferred.
• Experience working in a construction, transportation, manufacturing, or industrial environment is an asset.
• Familiarity with the concrete or construction industry is an asset.

Hours of Work
• This is a full-time permanent, position.
• Hours of work are generally Monday through Friday, 8AM to 4:30PM.
• Overtime may be required to support operations, especially during the busy summer months.
Work Environment
• This is primarily an in-office position with occasional travel to work and customer sites in the Edmonton and area.
• Travel outside of Edmonton and area may be required infrequently. This includes travel out of country.
Annual Salary
Salary range begins at $65,000 annually. Final compensation will be determined in accordance with the selected candidate's relevant experience, skills, and qualifications.
