About the Role | Executive Assistant – Office of the CEO

The Executive Assistant provides high-level executive and administrative support to the Chief Executive Officer and Executive Management Team.

This pivotal role ensures smooth communication, coordination and delivery of organisational priorities.

You’ll operate with discretion, agility and professionalism, supporting strategic outcomes while contributing to a customer-focused and future-ready organisation

Key Responsibilities

    • Act as the primary executive point of contact for the CEO
    • Manage the CEO’s diary, correspondence and stakeholder engagement
    • Coordinate travel arrangements and related documentation
    • Organise and support meetings, events and executive forums
    • Prepare and manage agendas, minutes, reports and briefing papers
    • Maintain robust electronic and hard‑copy filing systems
    • Assist in document control and management systems
    • Manage procurement and invoice processes for the CEO
    • Continually review internal practices to improve efficiency
    • Other duties as directed by the CEO

What we're looking for | Selection Criteria

Essential

  • Qualifications in Business Administration or equivalent experience
  • Proven experience providing high-level executive support
  • Exceptional organisation, time management and prioritisation skills
  • Demonstrated ability to manage confidential and sensitive matters
  • Outstanding written and verbal communication skills
  • Strong relationship-building skills with senior executives and stakeholders
  • Experience preparing minutes, agendas, reports and executive documents
  • Advanced skills in Word, Outlook, Excel, PowerPoint and Canva (Canva desirable)
  • Cultural awareness and sensitivity, with a genuine commitment to Aboriginal values
  • Ability to work independently and as part of a team
  • Flexibility to work outside normal business hours when required

Desirable

  • Aboriginal and/or Torres Strait Islander identification

Appointment Requirements

  • Minimum identity proofing requirements
  • National Police Clearance (issued within the last 6 months)
  • Pre-Employment Health Assessment
  • Current WA “C” class driver's license

The Royal Children's Hospital (RCH) has been providing outstanding care for Victoria's children and their families for over 147 years.

We are the major specialist paediatric hospital in Victoria and our care extends to children from Tasmania, southern New South Wales and other states around Australia and overseas.

With a passionate, highly skilled and committed staff campus wide of over 5,000, we provide a full range of clinical services, tertiary care and health promotion and prevention programs for children and young people.

We are the designated state-wide major trauma centre for paediatrics in Victoria and a Nationally Funded Centre for cardiac and liver transplantation.

When it comes to training and research we partner with the very best. Our campus partners, the Murdoch Childrens Research Institute (MCRI) and The University of Melbourne Department of Paediatrics, along with the RCH Foundation, are on site with the hospital in Parkville.
