What You Will Do

  • Provide high-level administrative support to the General Manager and Sales management team.
  • Manage calendars, scheduling, travel arrangements, meeting preparation, and follow-up tasks.
  • Prepare reports, memos, correspondence, presentations, invoices, and other business documents.
  • Gather, organize, and analyze information needed for administrative and operational reporting.
  • Record accurate meeting minutes and prepare documentation for meetings and leadership discussions.
  • Review, prioritize, route, and monitor incoming correspondence, requests, and action items.
  • Assist with office operations, departmental systems, and administrative procedures to support efficiency and organization.
  • Maintain records, files, reports, and other business documents in an accurate and organized manner.
  • Support management with research and document preparation for internal review and presentations.
  • Manage the sales department timekeeping system and assist with related administrative tracking.
  • Answer phones, greet visitors, route calls, and provide professional front-line support as needed.
  • Order office supplies, maintain records databases, and support general office administration.
  • Read, distribute, and organize incoming emails, memos, faxes, and other communications.
  • Use Microsoft Office and other company and manufacturer systems to support day-to-day business operations.
  • Prioritize daily workload, manage multiple deadlines, and adapt quickly in a changing environment.

What We Are Looking For

  • Experience in an executive assistant, administrative assistant, or similar support role.
  • Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Excellent organizational skills with strong attention to detail and follow-through.
  • Ability to handle sensitive information with professionalism and discretion.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong problem-solving skills and the ability to work independently.
  • Professional presence and customer-service mindset when interacting with leaders, employees, and visitors.
  • Experience preparing reports, correspondence, meeting materials, and presentation documents.
  • Ability to establish and maintain organized administrative systems and procedures.
  • High level of dependability, accountability, and adaptability.
  • Dealership or automotive industry experience is helpful but not required.

Pay: $72,000 - $108,000 / year
