職務内容
Executive Assistant to three Heads: Head of ZEISS Japan, RMS and MED. This positoin plays a critical role in ensuring smooth communication, efficient operations, and strategic alignment within the team and with global stakeholders. The role requires a proactive, detail-oriented individual who can manage administrative tasks, support strategic initiatives, and foster collaboration across teams.
(1) Core Responsibilities
Communication & Coordination
o Act as a trusted liaison between the Head of Business Unit and team members
o Ensure effective communication in Japanese and English, including translation of verbal and written materials
o Foster trust and address queries as the primary contact for team members
o Support communication with shared services, other business units, and HQ functions
Content Contribution & Organizational Goals
o Prepare proposals, presentations, and reports to support strategic decisions
o Identify opportunities to improve processes and contribute to team success
o Support initiatives to enhance employee satisfaction and well-being
Meeting & Event Management
o Organize and coordinate meetings, workshops, and events, including agendas, materials, and logistics
o Take detailed meeting minutes and ensure follow-up on action items
(2)Secondary Responsibilities
Customer & Visitor Support
o Handle customer communications with professionalism and accuracy
o Manage travel arrangements for the Head of Business Unit, team members, and international visitors
o Provide on-site support for overseas visitors to ensure smooth operations
Administrative Support
o Manage schedules, appointments, and time management for the Head of Business Unit.
o Process routine administrative tasks such as travel reimbursements and expense reporting.
o Maintain organized records and documentation
Required Experience
(1) Must-have
o Proven experience as an Executive Assistant, administrative coordinator, or similar role supporting senior leaders
o Hands-on experience with bilingual (Japanese–English) communication, including translation and interpretation in business settings
o Calendar management, travel planning, expense processing, and meeting logistics/minutes
o Cross-functional coordination with shared services/HQ and stakeholder follow-up
o Professional customer communication and issue handling
o Organizing workshops/events, managing materials, and action tracking
(2) Nice to have
o Experience in a multinational and/or technical environment
o Exposure to industries such as life sciences, biopharma, materials research, electronics/semiconductors
o Process improvement or SOP development experience
o Experience supporting after-sales/service operations
o Hosting overseas visitors (end-to-end logistics, on-site support)
o Preparing content for leadership decisions (briefings, proposals, dashboards)
Required Skills
(1) Must-have
o Native-level Japanese and excellent English; strong written and verbal communication
o Accurate translation and consecutive interpretation between Japanese and English
o Exceptional organization, prioritization, and multitasking under time pressure
o Stakeholder management and relationship-building across teams and levels
o Attention to detail and follow-through (high-quality minutes and action tracking)
o Proactive problem-solving, ownership, and comfort with ambiguity
o Proficiency in Microsoft Outlook, PowerPoint, Excel, and Word
o High professionalism, discretion, and confidentiality
o Strong teamwork and service-oriented mindset
(2) Nice to have
o Advanced Excel (pivot tables, charts) and strong presentation design/storytelling in PowerPoint
o Collaboration and project tools (Microsoft Teams, SharePoint, Planner; Trello/Asana)
o CRM/ERP and T&E tools (e.g., Salesforce, SAP, Concur)
o Basic data analysis and dashboards (e.g., Power BI)
o Workshop facilitation and event management skills
o Bilingual business writing and content editing
Required Qualifications
(1) Must-have
o Bachelor’s degree or higher/ equivalent practical experience
o Eligibility to work in Japan
o Willingness to support occasional early/late calls with global stakeholders and occasional travel
o Strong alignment with customer-centric and teamwork values
(2) Nice to have
o Interpreter/translator certification (e.g., JTF, NAATI, or equivalent)
o Project/process credentials (e.g., PMP/Prince2 Foundation, Lean Six Sigma Yellow/Green Belt)
o Microsoft Office Specialist (MOS) certification
o Academic background or coursework in life sciences, materials, engineering, or related fields
