NIE invites suitable candidates to join the Asian Languages and Cultures department as an Executive. This is a 3-year contract position.
Responsibilities
- Provide administrative support for academic programmes, visiting scholars, and research projects, including recruitment, documentation, claims processing, and compliance matters.
- Process and monitor Purchase Requisitions (PRs) and Purchase Orders (POs), including vendor creation and procurement support through institutional systems.
- Verify and process staff and faculty claims, ensuring timely reimbursement and compliance with financial policies.
- Support budgeting, forecasting, and financial reporting, including expenditure monitoring, record maintenance, audits, and half-yearly/year-end reporting.
- Monitor operating budgets and funds, maintain vote control registers, and liaise with stakeholders on fund utilization.
- Coordinate operational and administrative support for meetings, events, orientations, and seminars, including logistics, catering, and documentation.
- Manage incoming and outgoing mail and courier services, ensuring accurate tracking and record-keeping.
- Support school safety, risk management, compliance activities, travel administration, and safety reporting.
- Liaise with faculty members, administrative units, and external stakeholders to ensure smooth day-to-day operations.
- Handle matters relating to MAS funds, Ngee Ann examination administration, Content Upgrading initiatives, and NIE Innovation Grants.
- Perform any other duties as assigned.
Requirements
- A Polytechnic Diploma in Accounting, Finance, Business or related field.
- Preferably at least 1 to 3 years of work experience in IHLs or similar settings.
- Experience in finance such as budgeting and claims will be an advantage.
- Experience using Ariba or SAP will be preferred.
- Organized, meticulous in handling data and a service-oriented mind-set.
- A positive attitude and willingness to learn and adapt, with problem-solving skills.
- An effective team player with the ability to work independently.
- Ability to prioritize and plan work activities in an organized manner, able to multi-task, track and deliver assignments on schedule.
- Proficient in Microsoft Office applications.
- Perform other duties as assigned.
