The Opportunity

Join Moonee Valley City Council as an Executive and Project Support Officer and become the go-to person helping the Executive Leadership Team stay organised, connected and one step ahead.

Reporting to the Executive Officer and a part of our executive support team,you’ll be at the heart of the action — juggling executive support, handling sensitive information with confidence and helping drive strategic and operational projects across Council. You’ll also work across cross-functional teams to coordinate priorities, build strong working relationships and support seamless delivery of key initiatives. Responsibilities

  • Provide high-level executive and administrative support to members of the Executive Leadership Team
  • Coordinate meetings, agendas, minutes and follow-up actions
  • Manage executive calendars, inboxes and key reporting timelines
  • Prepare, review and coordinate reports, correspondence and presentations
  • Support organisation-wide projects, process improvement initiatives and research activities
  • Coordinate public notices and tender publishing requirements
  • Liaise with internal and external stakeholders to support effective operations and service delivery
  • Maintain accurate records and documentation within Council systems

Skills and Experience

  • Relevant qualifications in Business Administration or demonstrated relevant experience
  • Experience providing executive-level administrative support in a complex environment
  • Strong organisational skills and the ability to manage competing priorities and deadlines
  • Excellent written communication skills and strong attention to detail
  • Strong interpersonal and stakeholder engagement skills
  • Demonstrated ability to exercise discretion and maintain confidentiality
  • Advanced technology skills, including Microsoft Office and corporate systems
  • Experience in local government or supporting executive leadership teams will be highly regarded
