About the Role:
This Executive Administrative Assistant plays an important role in supporting leadership and strengthening the internal community. You will help coordinate events, manage communications, and support daily operations while enabling collaboration across global teams. This role offers the opportunity to contribute to a well-organized, connected, and inclusive workplace.
Responsibilities:
Manage and coordinate executive calendars, helping prioritize time effectively and resolve scheduling conflicts.
Support internal and external meetings by preparing agendas, coordinating logistics, capturing notes, and following up on action items.
Prepare and format reports, presentations, and communications to a high standard and aligned with brand guidelines.
Act as a point of contact for internal teams, supporting collaboration and maintaining strong working relationships.
Assist with onboarding and offboarding activities to support a positive employee experience.
Work collaboratively with colleagues across different locations, using bilingual communication skills and cultural awareness.
Supporting our Head of House and Mexico community by being a community enabler, creating and coordinating team activities and events (e.g. Hackdays, social events internal/external) with the help of the social committee.
Making best use of diverse channels to maximize the effectiveness of our internal communications to prepare and share internal communications.
Taking ownership of the community budget to ensure the best possible value by using creative thinking and ingenuity.
Requirements:
Experience using Microsoft Excel and PowerPoint to support administrative or operational tasks.
Strong organizational and time-management skills, with the ability to manage multiple priorities.
Clear and professional communication skills, both written and verbal.
Experience supporting meetings, events, or administrative processes in a professional environment.
Ability to work independently and as part of a team in a dynamic environment.
Spanish and English language skills to support collaboration across international teams.
Flexibility and willingness to travel occasionally, as needed for business activities (10% in a year)
