Job Description

St. John Regional Catholic School, located in Frederick, MD is seeking an Executive Assistant This position provides comprehensive administrative support to the Principal and plays a vital role in ensuring the smooth, efficient, and mission-driven operation of the school. This position supports the Principal, administrative team, faculty, staff, families, and visitors while upholding the values and expectations of a Catholic PK–8 school. The Executive Assistant must demonstrate professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.

Essential Functions

  • Uphold all Archdiocese of Baltimore (AOB) and school policies while maintaining strict confidentiality.
  • Exercise sound judgment in all matters involving students, families, staff, and school operations.
  • Demonstrate professionalism in communication and demeanor when serving families, visitors, faculty, and staff.
  • Support and model the mission and values of the Catholic Church; participate in liturgies and religious activities.
  • Manage calendars, scheduling, substitute coordination, and meeting logistics.
  • Support database management and maintain accurate administrative records.
  • Prepare agendas, minutes, administrative binders, and handbooks.
  • Draft and manage communications, including the weekly Faculty Newsletter.
  • Draft and respond to phone calls, emails, letters, and official correspondence.
  • Maintain organized filing systems, updated staff lists, and documentation.
  • Support purchasing, credit card documentation, and timesheets.
  • Manage onboarding, personnel files, reference checks, and staff documentation.
  • Uphold confidentiality and support the Catholic mission of the school.
  • Assist with school-wide events, professional development days, and administrative projects.
  • Use strong judgment, problem-solving skills, and prioritization to support the school community.

Position Qualifications

  • Some college coursework preferred; associate or bachelor’s degree is a plus.
  • 2–5 years of administrative support experience (school experience preferred).
  • Proficiency in Microsoft Office and Google Workspace.
  • Strong written and verbal communication skills.
  • Excellent customer service skills, organization, and attention to detail.
  • Ability to multitask, prioritize responsibilities, and adapt to changing needs.
  • Strong problem-solving skills and ability to handle ambiguity.
  • Punctuality and reliability required.
  • Ability to pass background checks and complete VIRTUS/Shield the Vulnerable training.

Pay Rate: $23.00, Hourly
