As an Executive Administrative Assistant , reporting directly to the Plant Manager, you will provide high-level administrative and operational support by coordinating executive communications, managing complex calendars, preparing reports and presentations, and facilitating communication across plant functions and corporate teams. You will serve as a trusted business partner to the Plant Manager, ensuring the efficient execution of daily operations, supporting strategic initiatives, and maintaining the highest level of professionalism, discretion, and confidentiality.
Provide confidential administrative support to the Plant Manager and plant leadership team.
Manage the Plant Manager's calendar, meetings, appointments, and travel arrangements.
Coordinate logistics and hospitality for domestic and international visitors, including executive leadership, customers, and suppliers.
Prepare meeting agendas, record accurate meeting minutes, track action items, and ensure timely follow-up.
Generate and monitor purchasing requisitions through SAP in accordance with company procedures.
Prepare and submit travel and expense reports.
Develop reports, presentations, dashboards, and executive summaries using operational and business data.
Support the annual budgeting process by collecting and consolidating departmental information.
Track plant operational metrics and KPIs while assisting with the calculation of the weekly productivity bonus.
Act as the primary liaison between the Plant Manager, plant leadership, corporate functions, and external stakeholders while handling highly confidential information.
Bachelor's degree in business administration, Industrial Engineering, International Business, Communications, or a related field.
2–4 years of experience as an Executive Assistant, Administrative Assistant, Plant Manager Assistant, or a similar role supporting senior leadership.
Experience supporting leadership within a manufacturing environment is preferred.
Fluent English (written and verbal).
Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, and Outlook).
Experience with SAP or another ERP system is preferred.
Strong organizational, planning, and time management skills.
Excellent communication and interpersonal skills.
High level of professionalism, discretion, confidentiality, and attention to detail.
Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
