This is a full-time, in-office position located in Oklahoma City, OK. Working hours are Monday – Friday, either 7:30am – 4:30pm or 8:00am – 5:00pm and occasional additional hours may needed.

The Executive Assistant co-supports Executive Leadership and provides high-level administrative support to ensure the efficient operation of the Executive Office within the Oklahoma Turnpike Authority. This role serves as a key point of contact for internal and external stakeholders, including agency leadership, governing board members, and state officials. The Executive Assistant must exercise a high degree of professionalism, discretion, and confidentiality while managing multiple priorities in a fast-paced environment. The position requires strong organizational skills, sound judgment, and proficiency in Microsoft Office applications.

Compensation

This position pays $37.40 per hour ($77,800 annually).

Primary Duties and Responsibilities

  • Provide comprehensive administrative support, along with the current Executive Assistant, to Executive Leadership, including managing schedules, coordinating meetings, and handling day-to-day communications.

  • Coordinate all travel arrangements specifically for Executive Leadership and may include other agency staff as well, including itineraries, lodging, and transportation; assist with travel as needed to support meetings and events.

  • Prepare and reconcile monthly expense reports, including agency credit card reconciliation, ensuring accuracy and compliance with agency policies.

  • Serve as a secondary liaison to governing board members by responding to requests, distributing materials, and ensuring timely and professional communication.

  • Support and assist in the preparation and coordination of monthly board meetings, including compiling agendas, preparing meeting materials, and recording or supporting meeting minutes as needed. Serve as the lead in this role with the other Executive Assistant is out.

  • Answer and screen phone calls for Executive Leadership, directing inquiries appropriately and ensuring prompt follow-up.

  • Manage and respond to email correspondence on behalf of Executive Leadership, ensuring timely and professional communication.

  • Provide on-site support during meetings, events, and official functions, including occasional travel to locations such as the State Capitol, Department of Transportation, Training Center, remote board meetings, etc.

  • Order office supplies and regularly stock necessary items in the Executive Offices.

  • Assist with special projects, including research, data collection and preparation of documents or reports for the agency.

  • Maintain strict confidentiality of sensitive information and exercise discretion in all aspects of the role.

  • Demonstrate strong multitasking abilities, attention to detail, and sound decision-making in a dynamic work environment.

  • Process monthly invoices timely to include reconciliation of the agency credit card, ensuring on-time payment each month.

  • Knowledge of and timely processing of state expectations for agencies (example 20i form, etc.)

  • Perform other administrative duties and special projects as assigned.

Physical Demands and Work Environment

  • This position works in a comfortable office setting with a computer for a large percentage of the workday.

  • The noise level in the work environment is usually mild.

Minimum Qualifications

  • Education and Experience requirements at this level consist of seven (7) years of administrative/clerical office work including four (4) years of experience as an office manager, executive assistant, or confidential secretary, or an equivalent combination of education and experience substituting 30 semester hours from a college or university for every one (1) year of experience.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Exceptional organizational, communication, and time management skills.

  • Ability to handle confidential information with discretion and professionalism.

  • Strong interpersonal skills and the ability to work effectively with executive leadership and external stakeholders.

  • Ability to prioritize tasks, meet deadlines, and adapt to changing priorities.

  • Demonstrated professionalism, sound judgment, and common sense in decision-making.

Knowledge, Skills and Abilities

Knowledge of procedures and techniques of business communication; spelling, grammar, and punctuation; business arithmetic, office methods, public relations, and computer applications such as Microsoft Outlook, Excel, Word, PowerPoint, Publisher, and Adobe Acrobat.

Skills required include strong oral and written communication; strong organizational and filing skills; strong attention to detail; establishing and maintaining effective working relationships by being able at interact with people of various social, cultural, economic, and educational backgrounds, embracing diversity and inclusion.

Abilities required include the ability to multitask; exercise discretion; exercise independent judgment in order to prioritize appointments and work assignments; work cooperatively and courteously with others; to communicate with a variety of personalities and divergent views in a tactful, pleasant, and professional manner; and to establish and maintain a confidential work environment.
