The Prince George’s County Office of the Sheriff is currently seeking qualified applicants to fill an Executive Administrative Aide to the Sheriff position, grade G21, in the Execute Administration Division.

About the Position

This is the highest level of responsible secretarial and administrative support work in the county. As such, incumbents are restricted to reporting to the highest level of County officials (i.e., County Executive, Council Administrator, County Council Chairman, Department Head). An employee at this level performs highly responsible administrative and executive secretarial work characterized by managing and coordinating overall office duties and activities. An incumbent may provide administrative/secretarial support to an independent board or commission. Work requires knowledge and experience and initiative to perform assignments not covered by established procedures. Employees exercise sound independent judgment. Typically, incumbents supervise and develop innovative practices to improve office efficiency. Contacts are diverse, valuing County employees, elected officials, business organizations and citizens.

About the Agency

The Prince George's County Office of the Sheriff has been a vital link in the criminal justice system for more than 300 years, providing the citizens of Prince George’s County with professional, transparent, and effective law enforcement service. The Office of the Sheriff serves as the law enforcement arm of the courts, responding to domestic violence calls, processing warrants, civil papers, domestic violence peace and protective orders, Emergency Psychiatric Petition (E.P.S.) orders, and the execution of evictions. The Office of the Sheriff is also responsible for court security, providing security and protection for visitors to our courthouses and securing courtrooms and holding areas. Deputies transport prisoners and are responsible for extraditing fugitives from other states.

Examples of duties

ADMINISTRATION

  • Coordinates special projects to relieve Sheriff and office staff of a variety of professional, technical and administrative details using professionalism and tact.
  • Monitors the Sheriff’s requests for information from departments/agencies to keep informed regarding the status of time sensitive projects using time management techniques
  • Maintains working knowledge of all projects being handled by the Sheriff using acquired organizational and time-management skills.
  • Drafts correspondence for signature of the Sheriff as required, using the County's computer system.
  • Acts as liaison among the Sheriff, departmental staff: departments and agencies, and private sector using knowledge of County procedures.
  • Schedules, reschedules and shifts appointments and meetings to ensure the Sheriff attends all scheduled appointments on time using various scheduling tools.

CORRESPONDENCE CONTROL

  • Types memoranda, letters, sensitive and confidential materials, etc., for signature or approval of the Sheriff from rough drafts into final copy, using the County's computer system.
  • Composes and drafts letters, memoranda, reports, etc. for the Sheriff’s signature. Composes letters to Agency employees who experience death, birth, and/or graduation among their immediate family for the Sheriff’s signature to produce final documents for distribution within the Office, other County offices and/or other organizations outside the County using acquired letter writing and proof-reading skills.
  • Establishes and maintains log of incoming correspondence addressed or referred to the Sheriff using acquired organizational techniques. Assists the Sheriff in providing information requested by department heads, elected officials and citizens using knowledge of Agency programs. Monitors constituent complaints addressed to elected officials but are referred to the Sheriff for handling.
  • Prepares and reconciles grant/contract data for clarity and accuracy, and creates databases, spreadsheets, and other analytic structures to analyze grant/contract budgets, status, issues, etc.
  • Coordinates purchases funded by Grant Budget with the Office of Central Services and vendors.

TELEPHONES/PUBLIC CONTACT

  • Answers and screens incoming phone calls for the Sheriff, from provide answers to questions/inquiries when applicable, and/or refer to appropriate bureau/division or staff person for immediate attention.
  • Acts as liaison between the Sheriff and citizens using acquired interpersonal skills.

APPOINTMENT CALENDAR/TRAVEL

  • Schedules appointments and meetings the Sheriff without prior clearance using various scheduling tools.Attends In-Service Training and other training classes related to job performance when the opportunity rises.
  • Establishes priorities of appointments using own discretion and various time management skills.
  • Prepares and distributes weekly appointment calendar for the Sheriff using various scheduling tools.
  • Makes arrangements for large after hour meetings and prepares and handles distribution of agenda using acquired planning skills.
  • Coordinates trips and prepares travel requests and necessary vouchers for conferences, seminars, etc., using acquired organizational and planning skills.
  • Maintains records of expense reimbursements and vehicle mileage logs for the Sheriff using acquired record keeping skills.

MAIL/FILING

  • Handles the mail flow for the Sheriff and prioritizes in order of importance, using acquired organizational and time-management techniques.
  • Reads all correspondence for the Sheriff to stay abreast of all established and ongoing projects using acquired organizational skills.
  • Maintains and follows up on assignments initiated by the Sheriff to other staff or department heads.
  • Establishes and maintains subject and confidential files for the Sheriff using knowledge of established filing systems.

PERFORMS OTHER DUTIES AS ASSIGNED

  • Accepts and performs tasks and duties which may not be specifically listed, but are included in the classification level typically associated with this type of work in order to meet departmental needs using departmental guidelines.

Qualifications

Minimum Qualifications

Candidates must meet all minimum qualifications listed below to be eligible for additional consideration:

  • Associate's Degree from an accredited college or university in Business Administration or Secretarial Science.
  • Three (3) years of senior level secretarial/administrative experience which involved working with the public, office management and operational details, and staff supervision experience.

OR

  • Experience at the Administrative Aide IV level position equal to the length of the probationary period of one (1) year or more.

An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered.

Please note there is no equivalency for the required staff supervisory experience.

Preferred Qualifications:

  • Previous public safety or local government experience

Additional Eligibility Criteria

Candidates deemed as meeting the minimum qualifications will be invited to complete and pass an online Administrative Aide examination. Applicants who have previously taken and passed the exam on or after 8/1/2024 will not be required to re-test. Previous passing test scores will be applied.
