Job Description

Do you enjoy creating structure, coordinating multiple priorities, and ensuring that day-to-day business operations run smoothly? Are you a highly organised professional who thrives on enabling others by managing details and keeping activities on track in a busy environment? Then you might be a great match for our new Executive Assistant and Business Support Coordinator role at Demant Diagnostics.

A key executive support role in a growing, global organisation

The Executive Assistant will be reporting to Casper Jensen, VP Sales, Demant Diagnostics, and also supporting Jacob Torpe Winter, VP Global Strategic Marketing. You will play a key role in coordinating business activities and helping the teams operate efficiently despite differences in time zones.

This role is ideal for someone with a strong administrative background who enjoys operational support, coordination, and follow-up. While experience supporting senior leaders is an advantage, success in this role comes from being highly organised, proactive, and detail oriented.

Casper and Jacob both work out of the Demant Diagnostics HQ in Copenhagen, but the position is based at our MAICO headquarters in Berlin, with the possibility to work from home when tasks allow.

Your key responsibilities

You will be responsible for coordinating a broad range of administrative and operational activities, helping to ensure efficient collaboration across international teams and making sure deliveries and schedules are on-time and running smoothly.

Other tasks include, but are not limited to:

  • Manage calendars, travel arrangements, expenses, and meeting logistics.
  • Coordinate leadership meetings, workshops, governance forums, and business reviews.
  • Prepare presentations, agendas, meeting materials, and business documentation.
  • Track actions, decisions, and deliverables while ensuring timely follow-up.
  • Support reporting activities and maintain relevant trackers and documentation.
  • Help plan and coordinate internal events, leadership meetings, and conferences.
  • Support sales reporting, forecasting, and other administrative business processes.

You will work closely with stakeholders across the Diagnostics organisation and help ensure that leadership teams can focus on business priorities by providing reliable and high-quality administrative support. The position is based in Berlin with the possibility to work from home when business needs and tasks allow.

Your experience and administrative expertise

We are looking for a highly organised professional who enjoys supporting others and ensuring operational excellence in a dynamic international environment.

  • Experience from an executive assistant, business support, office management, administration, sales support, or similar role.
  • Strong administrative and organisational skills.
  • Experience coordinating multiple stakeholders and priorities.
  • Proficiency in Microsoft Office, including Outlook, Teams, PowerPoint, and Excel.
  • Strong communication skills in English - German is an advantage.
  • Experience supporting senior leaders is an advantage.
  • You have a structured and proactive mindset - creating order, managing priorities, and ensuring follow-through comes natural to you.
  • You bring a collaborative and relation-building approach: You communicate effectively, build strong relationships, adapt easily, and handle confidential information with discretion.

To thrive in this role, you enjoy creating order, supporting colleagues, and keeping activities moving forward. You are dependable, proactive, and comfortable managing multiple priorities simultaneously.

A little something extra for you

  • Access to corporate benefits with many employee discounts
  • €600 in non-cash benefits per year with the Pluxee BenefitCard after successfully completing the probationary period
  • Monthly subsidy of €30 toward the BVG Jobticket
  • Jobrad bike leasing, sustainable commuting to work and for leisure
  • Company events and values-driven work in our international team
  • 5 days of continued pay if your child is sick
