The Exams Manager is a critical role at the college which will provide management for the Exams team. This is an operational role will oversee the day to day running of the Exams office, manage the student experience for assessment and also be responsible for the processing, accuracy and integrity of the data recorded on the college student record system throughout the learner journey. The key focus of the Exams team is to ensure the college delivers Exams and Assessment in-line with JCQ and awarding organisation requirements, whilst delivering best practice customer service to enhance the student experience. The Exams Manager will ensure the team delivers an outstanding service which is both effective and efficient.
Responsible to: Head of Student Administration
Key Responsibilities
- Manage and implement the administrative operations and processes for delivering assessment and exams to students.
- Line manage and appraise the Exams Officers to ensure clear expectations are set, performance is managed, and development needs are supported.
- Maintain staffing and agreed service levels whilst ensuring the highest of standards are achieved for an excellent customer service.
- Responsible for the development and maintenance of standard operating procedures and guidance notes to ensure continuity of service.
- Develop and maintain an excellent understanding of the curriculum plan, course set up and enrolment cycle for the academic year.
- Manage robust procedures to ensure the complexity of Exam Access Arrangements is recorded and delivered in exams effectively.
- Develop and maintain an excellent understanding of JCQ and awarding organisation requirements.
- Act as superuser with the student record system and deliver training to the team as appropriate.
- Ensure documents are filed in an effective archive system which adheres to policy and remains inspection ready.
- Support with the preparation work required for audit inspections, including the monitoring of data and document repository.
- Ensure compliance with GDPR policy at all times, including the capture and input of data and requests for information.
- Maintain excellent relationships with key departments across the college, ensuring collaboration is embedded throughout the service.
- Support the Head of Student Administration to evaluate policies and procedures to identify service delivery improvements.
- Work with the Head of student Administration to ensure processes support Equality, Diversity and Inclusion and remain aligned to the college strategic aims.
- Liaise with MIS to support the development of systems which are effective, efficient and compliant.
- Deputise for the Head of Student Administration at internal and external meetings as appropriate.
- Support the wider Student Administration function at key times, such as enrolment.
- Carry out any other relevant and appropriate duties as determined by the needs of the service and as appropriate to the grade.
- To take proactive responsibility for Health & Safety to ensure that a safe working environment and safe working practices are maintained at all times.
Skills, Knowledge and Expertise
Essential:
- Experience of managing and monitoring workflows and reporting on performance against service standards.
- Experience of leading customer excellence in a professional setting.
- Significant recent experience of managing an administrative function
- Ability to analyse and report on statistical data to support process management, timely interventions and business improvement.
- Experience of maintaining record systems and checking data integrity
- Excellent organisation, planning and prioritisation skills to meet deadlines
- Good IT skills
- Demonstrable experience in delivering training to others.
- Excellent stakeholder management skills.
- Excellent communication and interpersonal skills.
- Flexible and adaptable individual with a positive and constructive approach.
- Committed to own CPD
Desirable:
- Knowledge of the education sector and funding rules.
- Knowledge of ProSolution.
- Experience in matrix management.
