The person appointed would be expected to:

  • To support the delivery of the effective administration of all internal and external examinations. The postholder will support full compliance with JCQ and awarding body regulations
  • The role combines operational exams administration with responsibility for the delivery of a full administration service for the HE+ Merseyside Consortium Hub

Skills, Knowledge and Expertise

ADMINISTRATION OF EXAMS
  • Ensure all examinations are conducted securely and in full compliance with JCQ regulations and awarding body requirements.
  • Contribute to the full annual exams cycle, including:
  1. Candidate registrations and entries
  2. Timetabling and rooming
  3. Invigilation planning and deployment
  4. Results release and post-results services
  • Liaise with awarding organisations, staff and external agencies to ensure accurate and timely entries.
  • Maintain accurate candidate records including UCI allocation and course data.
  • Coordinate exam sessions, including preparation of rooms, seating plans and secure handling of exam papers.
  • Manage exam clashes, special considerations and malpractice procedures in line with regulations.
  • Support post-results services including reviews of marking, access to scripts and appeals.
  • Ensure the safe receipt, storage and despatch of confidential materials.
  • Lead on student communication regarding entries, timetables and results.
ACCESS ARRANGEMENTS AND INCLUSION
  • Liaise with Learning Support staff to ensure appropriate provision is in place.
  • Ensure students receive correct support in examinations and maintain accurate records.
DATA MANAGEMENT AND ANALYSIS
  • Ensure exam data integrity, consistency and compliance with GDPR principles.
  • Develop examination reports using college systems
  • Work with Manger/MIS/IT to develop and improve exam systems and processes.
COMPLIANCE, POLICIES AND QUALITY ASSURANCE
  • Maintain up-to-date knowledge of JCQ regulations and ensure College compliance.
  • Contribute to and maintain required policies including:
  1. Exams policies
  2. Contingency plan
  3. Malpractice and appeals procedures
  4. Data protection and safeguarding-related exam processes
  • Support inspections and audits relating to examinations and data.
LINE MANAGEMENT AND COORDINATION
  • Recruit, train and deploy invigilators to ensure effective exam delivery Coordinate with:
  1. Teaching staff and Heads of Department
  2. Learning Support
  3. IT and site teams
  • Provide guidance and training to staff on exam procedures and data systems.
STAKEHOLDER COMMUNICATION
  • Liaise with students, parents, staff and examination boards.
  • Provide clear guidance on examination regulations, results and data reporting.
  • Handle queries relating to exams, results and data in a timely and professional manner.
HE+ MERSEYSIDE HUB ADMINISTRATOR
The HE+ Merseyside Hub Administrator is the central point of contact for the consortium, working closely with the Head of High Achievers and HE+ Coordinator to support effective programme delivery.
  • The role includes maintaining communication between the Cambridge Admissions Office, Carmel College, and partner schools and colleges, coordinating the annual cohort across the hub, and administering the organisation of in-college events and visits to Cambridge.
  • The postholder also manages key administrative and financial processes, including travel costs, reimbursements, and invoicing.
OTHER
  • To undertake administrative tasks appropriate to the role, including data entry, record keeping and correspondence.
  • To attend meetings and complete mandatory training in accordance with the colleges meeting/training schedule
  • To assist at the colleges Open Evenings / Consultation Evenings
  • Each member of the College will take reasonable care for the health and safety of himself/herself and persons who may be affected by his/her omissions at work.
  • To undertake any other duties as may be assigned commensurate with the grade and overall responsibility level of the post and as changing circumstances may require.



Contract and Salary Information

Contract: Full time, Established, Term Time Only +1 week
Salary: Point 9-11, £26,818-£28,634 pa (actual payable £22,073.28 - £23,567.98 pa) depending on experience
