Job Description

RMIT Vietnam is looking for an Events Production & Administrative Support Assistant to provide project-based support during peak event periods at Hanoi Campus, supporting major events such as Carnival, Teachers’ Day, Christmas, Staff Parties and Graduation.

This role is ideal for someone who is proactive, reliable and enjoys working in a fast-paced environment where teamwork, attention to detail and a can-do attitude can make a real difference. The successful candidate should also be willing to work flexible hours, including evenings and weekends, depending on event requirements.

This position is offered as a 6-month contract and will be engaged through a third-party provider.

Expected start date: Early August 2026

The Events Production & Administrative Support Assistant provides critical project-based support during peak event periods and high-demand operational seasons at Hanoi Campus. The role is activated primarily during large-scale event build-up and execution phases, where fast-paced timelines, overlapping priorities and intensive onsite coordination require additional operational capacity.

Working closely with the University Events team, the position supports event infrastructure setup, venue operations, logistics coordination and administrative processing for major institutional events such as Carnival, Teachers’ Day, Christmas and Staff Parties. The role helps the team manage high-volume workloads and time-sensitive event deliverables under demanding event conditions.

Key Accountabilities

Production and Logistics Support

  • Assist in preparing event setup requirement briefs, obtaining supplier quotations, and coordinating with relevant stakeholders throughout the procurement process.
  • Support basic setup, operations, and dismantling of event infrastructure, including staging elements, signage, furniture, booths, and barriers.
  • Coordinate logistics arrangements, including equipment movement, asset transportation, delivery scheduling, and planning between campus and event venues under the direction of the line supervisor.
  • Provide onsite operational support during event setup, rehearsals, and live execution to help ensure smooth, safe, and timely delivery.
  • Assist in reviewing and tracking OHS documentation from suppliers, such as work permits, installation safety methods, contractor registration, and briefing attendance.
  • Liaise with external vendors to follow up on incomplete, missing, or non-compliant safety documentation in a timely manner.
  • Support safe-work observations and general compliance monitoring activities under the line supervisor’s guidance.
  • Support room preparation, furniture layout setup, and access coordination in accordance with event requirements.
  • Work collaboratively with Property Services and Security teams to ensure smooth on-ground operations.

Administrative and Payment Support

  • Source, review, and compare quotations from three to four suppliers to identify best-value options, and prepare comparison summaries or presentation slides for management review and approval.
  • Support administrative processes, including service contract or statement of work preparation, invoice collection, and payment documentation.
  • Maintain accurate records and ensure timely uploads and filing of event-related documentation in Monday.com and SharePoint.
  • Follow up with suppliers and internal stakeholders on outstanding documentation related to logistics and event delivery.

Other Duties

  • Assist with assigned projects and tasks as required.
  • Contribute to continuous improvement initiatives by sharing operational observations and feedback.
  • Ensure compliance with RMIT policies, procedures, and behavioural expectations.

Key Selection Criteria

  • Recent graduate or junior professional with experience supporting or coordinating events, logistics, or administrative workflows.
  • Strong communication skills in both English and Vietnamese.
  • Good interpersonal skills, with the ability to work effectively with suppliers, internal teams, and diverse stakeholders.
  • Competent in digital tools such as Monday.com, SharePoint, MS Office, and basic design software.
  • Ability to perform physical operational tasks if needed, including lifting and moving event equipment.
  • Adaptable and able to work efficiently in fast-paced environments.
  • Willing to work flexible hours, including evenings and weekends, as required by event requirements.
