Events Manager

TheEvents Manager oversees the strategy, design, management, revenue, and reporting for all campus career fairs and career services events, as well as supports campus partners in the design, management, and reporting of their events.

What You will be doing in this position

Event Management & Logistics

  • Execute large and small-scale, campus-wide career fairs, employer information sessions, student open houses, workshops and speaker series

  • Track event activity and manage registration data; provide timely reports to internal stakeholders

  • Serve as a primary campus contact for personnel from participating organizations

  • Coordinate events with campus scheduling, facilities, campus police, and building personnel to ensure space and safety needs are met

  • Liaise with BYU Catering and other vendors to provide meals, hospitality, and event services

  • Manage, assign, and train 50+ volunteers for large events and fairs.

  • Oversee career fair and event-related webpages on the Career Services website

  • Provide support to on- and off-campus entities’ sponsored events (Utah Valley Job Fair).

  • Develop positive professional relationships and respond to unique recruiting needs (including some early morning, and evening communication)

  • Ensure all events and recruiting activities follow university on-campus recruiting policies to maintain the integrity of opportunities and to provide the highest quality jobs and internships for our BYU students

  • Support the Office Manager in planning staff trainings, retreats, and department-wide initiatives

  • Support the Office Manager in organizing student employee trainings, initiatives, and events

  • Collaborate with the Marketing & Communications Director to coordinate the strategy, design, and management of Career Services participation in campus events (e.g., Parent Info Fair, NSO Fair, Becoming Leaders: Opportunity Fair)

Supervise Student Employees

  • Hire, train, and supervise approximately 3 student employees

  • Facilitate professional development and leadership opportunities for student staff

  • Conduct bi-annual performance reviews and makes recommendations regarding student wage increases

  • Ensure effectiveness of staff and student work; conduct disciplinary conversations when needed

Employer Engagement & Recruiting Support

  • Support the Associate Director of Employer Engagement & Recruiting in executing employer engagement and recruiting initiatives

  • Assist with employer outreach and engagement related to career fairs, information sessions, and recruiting programs

  • Coordinate employer-facing communications related to recruiting timelines, event participation, and follow-up activities

  • Support campus partners in expanding their employer outreach efforts and aligning employer engagement goals with Career Services priorities, including student placement outcomes and recruiting success metrics

  • Contribute to the assessment of employer engagement outcomes and recruiting effectiveness

  • Identify opportunities to enhance employer participation, retention, and recruiting success through events and programming

Event/Fair Strategy & Reporting

  • Oversee the strategy and design for all Career Services events and fairs

  • Collaborate with colleagues, faculty, and staff to establish strategy, goals, timelines, and success metrics for all events

  • Direct reporting and analytics for career fairs and events; analyzing data to inform strategy and continuous improvement

  • Identify key performance indicators, assess outcomes, and utilize insights to improve employer and student satisfaction

  • Make strategic recommendations on involvement of appropriate faculty, staff, and other university departments

  • Oversee income collection and track expenditures for two large Fair budgets

  • Track expenditures for Career Services events under the events team stewardship

  • Facilitate career fair committee meetings to implement strategy and achieve desired college, employer, and student outcomes

  • Serve as a primary liaison with campus partners regarding Career Services led fairs and events

  • Collaborate with colleagues at other higher education institutions to plan shared events (Grad School Fair, UACE New Grad + Alumni Fair)

  • Collaborate with Marketing & Communications Director to implement marketing strategies and campaigns to increase awareness of Career Services events and resources

  • Collaborate with the Associate Director of Employer Engagement and Recruiting team to ensure events support broader employer recruiting goals

What qualifies you for this role

Minimum education/experience required:

  • Associate’s degree from an accredited institution or equivalent applicable work experience

  • Experience in functions requiring team work, high volume activity, detailed follow-up, and technology use

Minimum education/experience preferred:

  • Bachelor’s degree from an accredited institution

  • 3+ years’ experience in event planning, administrative services, or hospitality; experience in higher education recruitment and associated technology platforms; documented experience in functions requiring team work, high volume activity, detailed follow-up, and technology use

Skills, abilities or knowledge needed:

Required:

  • Highly organized

  • Strong written and oral communication skills

  • Excellent interpersonal relationship skills

  • Ability to collaborate several constituencies (i.e. team members, clients, students)

  • Able to follow policies, practices, systems, procedures for employer engagement

  • Able to effectively follow-up, track, and measure desired outcomes; produce regular reporting and/or tasks as needed

  • Demonstrated ability to effectively use social networking tools

  • Proficient with technology, software applications (Microsoft Office)

  • Engaged learning attitude

  • Team-minded, supportive, contributive approach

Preferred:

  • High PR abilities: represent BYU to internal and external constituencies

  • Collaboration with Careers & Experiential staff, faculty, alumni, employer recruiters, CES and other regional employer relation counterparts

  • Provide insights and recommendations

  • Experience in higher education recruitment and with associated technology platforms

  • Proficient with client relationship management software systems (i.e. Handshake, Salesforce); produce reports, utilize processes/systems

Pay Grade: 51

Typical Starting Pay: $59,000-$75,500

The actual compensation offered will take into consideration internal equity and may vary based on the candidate’s job-related experience, knowledge, skills, and other relevant factors. Candidates with very significant work-related experience may receive an offer higher than the posted typical range.
