Job Description

The Event Coordinator is an organized and strategic leader who will be an integral part of our guest-focused service team for all events. Event coordinator will assist in planning and managing every aspect of an event, ranging from corporate meetings to trade shows, weddings, parties, or promotional business events

Key Accountabilities:

  • Coordinate event logistics, Banquet Event Orders building, contract drafting, and invoice processing for clients.
  • Assist in executing corporate, diplomatic, and social events monthly by collaborating with cross-functional teams to tailor to the unique preferences of each guest.
  • Participate in compiling year-end revenue reports, utilizing insights to inform strategic decision-making and drive operational improvements.
  • Manage design projects for the catering menu, collaborating closely with the culinary team to align offerings with organizational objectives and client preferences.
  • Complete and accurately handle all inquiry calls in accordance with the inquiry call process.
  • Provide administrative support for designated manager as requested to include correspondence, mail, phone coverage, filing and maintaining files, preparation of sales kits.
  • Send out proposals and manage reservations for private meeting spaces, restaurant, and rooftop venue.
  • Assist clients in the absence of catering/conference services manager.
  • Prepare and distribute reports, such as daily events, change log and the 20-day report.
  • Prepare and distribute the daily postings or “reader boards”.

General Requirements:

  • Bachelor’s degree preferred in a related Business field.
  • Must have at least 1-2 years proven working experience in administration.
  • Effective administration and project coordination skills.
  • Microsoft – Excel, PowerPoint and Word. Knowledge of Hotel Operations and or Events.
  • Must be a natural organiser (highly detailed and able to engage with guests), analytical, have a financial acumen (budgeting) and able to diffuse difficult situations with charisma.
  • Strong communication and organizational skills, high level of commitment and the ability to complete task according to tight timelines.
