As an Events Associate you will assist with supporting events, meetings, training rooms, and facility moves on campus and ensure spaces are properly set up, equipped, and maintained to meet customer needs. Support event setup and teardown, furniture installations and relocations, inventory management, and the delivery of event materials while maintaining a safe, clean, and organized environment. Complete work orders, supports multiple projects and events simultaneously, and adapts to changing priorities and business needs to ensure a high level of customer satisfaction.

  • Assist with the overall support for meetings, events and training rooms to ensure improvements in quality and services are always maintained at a high level.
  • Complete set ups, tear downs and room reconfigurations for meetings, events and training rooms; this includes, but not limited to, hanging banners/posters, installing stages, dance floors, moving tables, chairs, podiums, microphones, projectors, and screens.
  • Ensure daily duties are carried out and completed according to department standards.
  • Support Events and Venues Department with inventory of event equipment and supplies as needed.
  • Maintain accountability and cleanliness of Events and Venues areas, to include supply/storage rooms, building dock areas and vehicles.
  • Work with internal Print Services to pick up and deliver flyers, banners, and signage for various events to include café operations, private and corporate events.
  • Establish and maintain cooperative relationships with those contacted in the course of work. Responds to sensitive matters and/or situations with discretion, tact, and confidentiality.
  • Assist with transforming Events and Venues “sites within HQ” to meet internal and external customer expectations and encourage repeat business opportunities.
  • Assist other departments by moving the workspaces of employees, contractors, and new hires, as well as associated work equipment such as computers, telephones, file cabinets, and miscellaneous equipment. Reinstalls furniture safely and timely within deadlines as needed.
  • Coordinate with the Manager regarding scheduling and setting daily job priorities
  • Identify and take inventory of supplies and equipment needed to complete daily tasks and projects.
  • Complete work order assignments or duties daily as assigned.
  • Inspect work area to make safe and clean working environment.
  • Check the quality of setup during and after completion of work, to make sure safe and setup to needs of tasks
  • Load and unloads furniture product to project site by installing, disassembling and moving product accordingly
  • Assist team by providing input on setup rollout to ensure work is accomplished
    according to efficiency and safety
  • Review drawings for pull list accuracy and any questions related setups approved by planners. Promptly identifies any deviations or changes required in the field and ensures management is aware prior to modifying
  • Work efficiently and in a timely manner without sacrificing quality.
  • Provide backup support for Facility and Administrative Services, as needed.

This position is salaried nonexempt status, which means you are eligible for overtime pay.

Qualifications:

Minimum Requirements:

  • High School Diploma or GED required.
  • 3+ years of experience in the following area(s) required:
    Clerical, administrative support, or related experience
  • Able and willing to work on-site, in-person at the Valero San Antonio location, required.
  • Must possess or be able to obtain a valid Driver's License within specified timeframe required.
