Job Description

The SOM Alumni and Events Assistant Coordinator will provide vital support to the Alumni and Development team by assisting with a wide range of tasks related to event planning, promotion, and execution. This position is ideal for students who are organized, detail-oriented, and interested in gaining experience in event coordination, marketing, and alumni relations.

Key Responsibilities:

Event Promotions and Marketing: Assist with the promotion and marketing of aevents. Help design and maintain event photo albums. Support the attainment of door prizes and raffle items for events.

Administrative Support: Schedule appointments and meetings as needed. Follow up on event invitations (evites) through phone calls and emails. Perform price comparisons for event-related purchases. Manage correspondence related to events and alumni relations. Stuff and mail event invitations and other communications. Draft documents, presentations, and process manuals.

Office and Event Preparation: Assist with office cleanup and organization. Conduct inventory and prepare event kits. Ready necessary items for upcoming events. Liaise with various departments on behalf of the supervisor as needed. Research and Data Management: Conduct research related to events and alumni relations. Input and manage data within the department’s database.

General Office Support: Make copies, file documents, and provide general office support. Perform scanning tasks and run errands as needed. Answer and make phone calls related to alumni and event activities.
