Position: Event Staffing Operations Specialist
Reports to: Manager, GTM Strategy & Operations
Position Term: Full Time Permanent

Job Purpose
The Event Staffing Operations Specialist is responsible for the recruitment, readiness and deployment of live event teams supporting World Vision Canada’s Events & Experiences portfolio. This role ensures that the right talent is in place to deliver high-quality, consistent and impactful brand experiences across all activations.
As a key specialist within the Go-To-Market (GTM) Operations function, this role defines and operationalizes scalable staffing strategies, standards and programs, including the development and management of Tour Representatives, Brand Ambassador and Event Volunteer teams. The Specialist ensures that all event staff are effectively recruited, trained and prepared to represent the organization’s brand, mission and values.
Balancing workforce planning with program development and execution, this role plays a critical part in building a reliable, high-performing talent pipeline that aligns with event and activation needs, audience expectations and organizational growth.
Responsibilities
Go-To-Market Event Staffing Strategy
• Define and implement scalable event staffing strategies and standards in partnership with GTM leadership.
• Translate event and experiential requirements into workforce plans that align with event types, audience needs and geographic considerations.
• Establish frameworks that ensure consistency, flexibility and efficiency in staffing across the Events & Experiences portfolio.
• Continuously evolve staffing approaches to support growth, changing needs and operational priorities.
Talent Programs (Tour Representatives, Brand Ambassadors & Event Volunteers)
• Build, manage and continuously improve Tour Representative, Brand Ambassador and Event Volunteer programs.
• Oversee recruitment, selection and onboarding processes to ensure a strong and reliable talent pipeline.
• Manage relationships with event staff, fostering engagement, retention and performance.
• Ensure programs are structured to scale effectively while maintaining quality and consistency.
Training, Readiness & Quality Standards
• Design and deliver onboarding and training programs that prepare staff for successful event execution.
• Establish and maintain quality standards for staffing roster performance, ensuring alignment with brand and experience expectations.
• Equip staff with the tools, knowledge and resources needed to deliver effective audience engagement.
• Monitor readiness and performance, identifying gaps and implementing improvements as needed.
Deployment & Workforce Planning
• Plan and coordinate deployment of event staffing teams in alignment with portfolio calendars and operational requirements.
• Ensure the right talent is assigned to the right events, markets and roles based on skills, experience and availability.
• Manage scheduling and logistics related to event staffing deployment.
• Anticipate staffing gaps or risks and implement proactive solutions to ensure coverage.
Performance Management & Continuous Improvement
• Track and evaluate individual performance across all event staffing portfolios, using insights to inform improvements to recruitment, training and deployment strategies.
• Establish feedback loops with event, portfolio and GTM teams to capture learnings and enhance effectiveness.
• Continuously refine staffing models, processes and programs to improve efficiency, quality and scalability.
• Contribute to a culture of accountability, excellence and continuous improvement across field teams
Qualifications
• Post-secondary education in Business, Operations, Human Resources or a related field.
• Experience in event staffing, experiential marketing or volunteer management.
• 3–5+ years of experience in event staffing, recruitment, workforce planning or program management.
• Strong interpersonal and relationship management skills.
• Demonstrated experience building and managing talent programs or field teams.
• Strong understanding of recruitment, onboarding and training best practices.
• Experience coordinating staffing across multiple locations or events.
• Proven ability to manage schedules, logistics and competing priorities in a fast-paced environment.
• Strong interpersonal and relationship management skills.
• Excellent organizational and communication skills.
• Ability to assess performance and implement improvements based on data and feedback.
