Job Description

The Event Sales Manager plays a key role in securing corporate meetings and private social events at Hotel X Toronto, a Destination by Hyatt. This position is responsible for managing the sales cycle from initial inquiry through to contract signing,
handling local catering and event opportunities with fewer than 10 guest rooms. The Event Sales Manager builds strong client relationships, understands each client’s needs, and develops tailored proposals that align with their vision and the hotel’s offerings. Working closely with internal teams, they ensure clear communication and a seamless transition to the Catering Services Manager to detail, while delivering a professional, engaging sales experience that reflects the brand standards of Hotel X Toronto.

Role and Responsibilities

  • Manage incoming event and catering sales leads, with a focus on corporate meetings and events with fewer than 10 guest rooms, guiding each opportunity from initial inquiry through to signed contract.
  • Build strong client relationships by understanding event goals, presenting tailored solutions, and delivering a responsive, engaging sales experience.
  • Conduct site visits and client meetings to showcase the property and align offerings with client needs.
  • Develop and present detailed proposals, including event layouts and preliminary floorplans, ensuring alignment with operational capabilities and health and safety standards.
  • Ensure prompt, professional communication, prioritizing same-day follow-up (during business hours) for all client and internal correspondence.
  • Prepare and review sales contracts, including key details such as room blocks, food and beverage minimums, room rentals, cut-off dates, and concessions, ensuring accuracy and client understanding prior to signing.
  • Attend weekly team sales meetings to review prospects and develop strategies for both short and long booking horizons.
  • Monitor monthly conversion rates to ensure conversion pace is maintained.
  • Work closely with Marketing Department to develop content calendar to support seasonal
  • Monitor key sales timelines and proactively follow up with clients to secure decisions, release tentative space when appropriate, and optimize revenue opportunities.
  • Collaborate closely with Catering, Operations, Marketing, and other hotel departments to ensure a smooth and well-informed transition from sales to event execution.
  • Maintain accurate records, notes, and trace dates within CRM (Envision) to support pipeline management and forecasting.
  • Build and maintain strong relationships with internal teams and preferred vendors to support the sales process.
  • Support hotel showcase events, open houses, and seasonal initiatives through client outreach and participation.
  • Uphold the brand voice and service standards of Hotel X Toronto, Destination by Hyatt, across all client interactions and sales materials.
  • Performs other duties as assigned by Director of Catering

Salary

$65,000 - $75,000/year

Qualifications

3–5 years of experience in hotel or venue-based event sales or related hospitality sales roles; previous Hyatt experience is an asset.

Proven success in managing the sales cycle for corporate meetings and events, with a strong focus on converting leads into confirmed business.

Polished and professional communication skills, both verbal and written, suited to a luxury hotel environment.

Strong relationship-building skills with an authentic, client-focused approach.

Highly organized with exceptional attention to detail and the ability to manage multiple priorities and deadlines.

Experience with sales and event software (e.g., Envision or floorplan tools) considered an asset.

Proficient in Microsoft Word, Excel, and Outlook, with the ability to quickly learn hotel-specific systems.

Collaborative team player who contributes to a positive, respectful, and results-driven work environment.

Flexible availability, including occasional evenings, weekends, and holidays, in line with the business needs of the hotel.

Proven track record of meeting or exceeding sales targets.
