The Event Sales Coordinator is a dynamic sales and client‑service role responsible for converting inquiries into booked events and supporting the planning process from start to finish. With a focus on relationship building, proactive outreach and operational collaboration, this position directly contributes to revenue growth and exceptional client experiences.

Sales & Business Development
• Actively respond to and qualify inbound inquiries by providing timely, compelling proposals and effectively managing the sales pipeline.
• Consistently seek new business opportunities through proactive outbound prospecting across multiple channels, including cold calling, referrals, networking, venue partnerships and lead generation platforms.
• Prepare quotes, visually engaging proposals and contracts while maintaining accurate client records and adhering to company payment and deposit protocols.
• Follow a structured sales process, consistently nurturing prospects through regular follow-up to maximize conversion opportunities.
• Develop and maintain strong relationships with key clients, venue partners, event planners and industry contacts.
• Create additional revenue opportunities by establishing preferred catering partnerships with event venues and referral partners.
• Attend networking events, industry functions and trade shows to develop new business relationships while strengthening existing client partnerships.
• Deliver exceptional customer service that results in positive client feedback, repeat business and referral opportunities.
• Contribute to annual sales targets and confidently report on the current status of the sales pipeline, forecasted business and conversion performance.
• Monitor individual sales performance by tracking key performance indicators, including inquiry response times, proposal conversion, average event value, pipeline health and annual sales targets.
• Participate in regular Regional Pipeline Review meetings to identify opportunities, remove roadblocks and drive sales performance.
• Utilize the company sales toolkit and effective negotiation strategies to successfully convert opportunities into confirmed business.
• Monitor sales performance by adhering to Western Region KPIs on response times, conversion, pipeline health and annual sales targets, taking proactive action to achieve or exceed goals.
Event Planning
• Assist with event planning as needed by providing expert guidance, anticipating client needs and asking the right questions to ensure every detail is captured.
• Manage time effectively to meet proposal, BEO and event planning deadlines while responding to clients within 24 hours
• Engage in site tours, tastings and planning meetings as required.
Client Management
• Serve as the primary point of contact for clients till booking.
• Conduct client consultations, venue tours, tastings and planning meetings as required.
• Build long-term client relationships by hosting entertainment meetings, lunches and networking opportunities where appropriate.
• Maintain consistent communication throughout the planning process, providing timely updates and managing client expectations.
• Conduct post-event follow-up to gather feedback, encourage repeat business and generate referrals.
Menu Management
• Utilize approved menus to maximize event revenue by confidently upselling menu enhancements, beverage packages and additional services.
• Collaborate with the culinary team to recommend and customize menus that align with the client's vision, budget and operational capabilities.
Operational Collaboration
• Maintain a strong understanding of facility capacities, production timelines, service standards and operational capabilities.
• Anticipate the operational needs of the culinary and event operations teams to ensure events sold can be executed successfully and profitably.
• Participate in post-event debriefs, sharing client feedback and identifying opportunities for continuous improvement.
Required Qualifications
• Minimum 3 years of experience in catering sales or event sales.
• Demonstrated success in outbound sales, and business development including cold calling.
• Working knowledge of catering operations, banquet service and event logistics.
• Strong organizational skills with the ability to coordinate multiple events simultaneously.
• Excellent communication, relationship-building and negotiation skills.
• Ability to work evenings, weekends and attend on-site events as required.
• Ability to travel to client meetings, trade shows and regional accounts for training and business development.
• Valid driver's license required.
Preferred Qualifications
• Experience with catering and event CRM software.
• Business development experience within the hospitality, catering or events industry.
• Experience building relationships with venues, event planners and corporate clients.

The pay range for this position is $53,045.00 - $65,776.00.
