How will you make a difference to PMI?
Do you thrive on owning events end to end and turning complexity into clarity? PMI is seeking an Event Planner (Level II) to join its Global Events and Meetings (GEM) Team. In this role, you’ll plan and execute events and meetings from concept through post-event closeout, serving as a trusted partner to business owners and leading cross-functional planning efforts. You’ll operate confidently in a fast-paced, collaborative environment, balancing experience, budget, and business needs while delivering high-quality events that connect and inspire PMI’s global community.

What you’ll bring to the role:
This end-to-end event planning and execution role includes:
• Lead the planning and execution of in-person or virtual meetings and events, including post-event reporting, reconciliation, and lessons learned.
• Serve as the central point of accountability for assigned events, including timelines, risks, dependencies, and decision tracking.
• Lead core planning calls with cross-functional stakeholders and ensure alignment across teams.
• Partner with business owners to develop detailed event plans, budgets, and delivery approaches.
• Manage budgets in accordance with policy guidelines, including invoice reconciliation and post-event financial recaps.
• Source, negotiate, and coordinate with venues, audiovisual providers, decorators, and other key vendors.
• Collaborate closely with internal and external stakeholders to ensure event success.
• Execute events onsite with a strong focus on attendee experience, service excellence, and issue resolution.
• Strong event risk mitigation planning.
• Ensure seamless on-site execution with a focus on customer satisfaction and attendee experience.
• Design thoughtful event experiences while responding to attendee needs and inquiries.
• Apply insights and learnings to continuously improve future events and operational processes.

Experience a plus but not required in:
◦ Experience supporting executive-level or VIP experiences.
◦ Tradeshows, Exhibits and Sponsorship activation
◦ Registration or Housing system and reporting
◦ Virtual meetings and events (Zoom, MS Teams, Brandlive, Air Meet)
◦ Exposure to sustainability practices and accessible event design.

Job duties posted are not all inclusive and may shift due to team assignments and workload.

Role Qualifications:
• Bachelor’s degree in a related field or equivalent experience.
• Industry certifications such as CMP, CMM, PMP, or CAPM are a plus.
• 7+ years of experience planning events ranging from 25 to 2,000+ attendees.
• Strong proficiency in planning meetings and events in domestic and international countries.
• A self-starter mindset with demonstrated accountability, collaboration, and solution-oriented decision-making.
• Proficiency in Microsoft Office Suite (Excel, PowerPoint, Teams, Smartsheet, Monday.com, etc.).
• Physical capability to lift up to 20 pounds as part of event logistics.
• Ability travel up to 20% domestically and internationally.
• Availability to work outside normal business hours and weekends
