Event Operations Specialist

to join their team in Dublin, Ireland.

Duration - 6 months

Location - Hybrid at Balls bridge (3 days onsite)


Summary:


Our client is seeking a CX Event Operations Specialist for its Dublin office, with sporadic support for Zurich.


The CX Event Operations Specialist will partner with the Community Experience (CX) team to deliver high-quality onsite events and community activations at our Dublin campus, with periodic support for Zurich. This role is execution-focused, responsible for the operational delivery of events from planning through to post-event wrap. The CX Event Operations Specialist will also support the procurement process for event-related suppliers and services.


RESPONSIBILITIES


  • Event Execution (80% of time):

  • Support the end-to-end operational delivery of onsite events including Tentpole Metamate Meetups, End of Year Events, Tech Enablement Portfolio, Game Days, utilising global playbooks and local knowledge.

  • Manage event logistics including venue setup, supplier coordination, facilities/AV requirements, catering, signage, and day-of-show execution.

  • Coordinate with cross-functional partners (AV, security, catering, facilities) to ensure seamless event delivery.

  • Maintain the local events calendar, ensuring alignment with regional and global CX strategic plans.

  • Support the collection of event data, attendee feedback, and post-event retrospectives. Surface key learnings and process improvements to relevant stakeholders.

  • Maintain best practice documents, run-of-show templates, and process guides for repeatable event formats.

  • Support supplier relationships for event services, supporting creative briefs, quotes, and on-the-day delivery.

  • Provide sporadic event execution support for the Zurich office as required.

  • Procurement Support (20% of time):

  • Support the end-to-end procurement process for event-related suppliers, including onboarding new vendors, creation of purchase requisitions (PRs), Third Party Assessments (TPAs), and purchase orders.

  • Process PRs efficiently to reduce holds and positively impact payment cycles from initiation to payment completion.

  • Communicate with suppliers on PO queries and troubleshoot procurement issues as they arise.

  • Support budget tracking and reconciliation for event spend, maintaining accurate documentation.


Requirements


  • 4+ years of experience in event operations, event production, or a similar role in a fast-paced corporate or agency environment

  • BA/BS in Events Management, Communications, Business, or a related field

  • Experience managing multiple events simultaneously from planning through execution

  • Experience coordinating with cross-functional teams and external suppliers

  • Strong organisational skills with the ability to manage competing priorities and tight deadlines

  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals

PREFERRED QUALIFICATIONS

  • Experience in procurement operations or source-to-pay processes

  • Experience working in a tech company or large-scale corporate environment

  • Knowledge of event CRM tools and data collection methodologies

  • Experience supporting events across multiple sites or regions

  • Graphic design or content creation experience for event communications

  • Familiarity with Meta platforms and internal processes
