Main Mission

As Event Operations Manager, you will own the end-to-end execution of our global activations of Belgium. You will lead each activation project, optimise resources across dozens to twenty of concurrent events, and act as the final line of defence for timing, budget, and client satisfaction. This is a hands-on leadership role that blends tactical problem-solving with strategic process design.

Responsibilities and Activities

  • Coordinate with Support, Technical Operaions, Stock, Design, and Event Operations teams across Europe.

  • Create project plans with clear timelines, milestones, and success metrics. Track progress and adjust as needed

  • Staff each project with the right mix of hostesses, installers, and cameramen. Negotiate and follow up freelance contracts when needed.

  • Own the client relationship once a deal is signed by the Sales Team, fielding last-minute requests and escalating issues before they affect show day.

  • Prepare transport budgets, book couriers and freight, and devise cost-efficient routing for multi-stop tours.

  • Ensure every venue’s technical, security, and compliance requirements are met; manage on-site build and strike schedules.

  • Partner with sales to assess financial and technical feasibility of proposed events.

  • Track operational costs, forecast resource needs, and report KPIs to senior management; drive continuous improvement initiatives.

  • Maintain the CRM and project-management tools with accurate, up-to-date event data.

Profile Required

Education: Management, Business School Master level.

Experience: 2-5 years’ experience managing operations in events, logistics, AV rental, or experiential marketing. Where you already demonstrated success leading multi-disciplinary teams and juggling multiple live projects.

Technical Skills:

  • Budget creation, cost tracking, and margin protection across multiple events.

  • Transport and logistics planning for multi-country tours.

  • Venue compliance and technical requirements assessment.

  • Strong financial acumen: budget creation, cost tracking, and margin protection.

  • Proficiency with Dynamics 365, Monday.com, or similar platforms.

  • Familiarity with experiential-technology installations (photo booths, AR/VR, interactive displays).

Soft Skills:

  • Leadership, ability to inspire, guide, and align teams toward shared goals.

  • Communication: deliver clear updates and expectations to clients, freelancers, and internal teams in English and French or/and Dutch.

  • Problem-solving: anticipate risks, reprioritize tasks, and maintain delivery standards under tight deadlines.

  • Analytical Thinking, understand project dynamics, assess risks, and monitor performance indicators.

  • Stress management: stay composed during high-pressure event phases and last-minute changes.

  • Stakeholder management: balance client demands with operational constraints and team capacity.

  • Languages: English (required), Native language (FR or/and NL).
