QUALIFICATIONS:

  • BS/BA in Marketing, Business, Communication or related field (may substitute on a 2:1 ratio exp for education)
  • Minimum five years’ experience in special events and/or community relations
  • Excellent written and verbal communication skills
  • Event Planning & Coordination of multiple projects
  • Proficient in Microsoft Office software (i.e. Outlook, OneNote, Publisher)
  • Proven experience in social media management & graphic design software (i.e. Adobe Suite, Canva)
  • Capable of maintaining a high level of integrity and confidentiality
  • Detail oriented, accurate and precise
  • Excellent organizational skills
  • Energetic, personable and dependable
  • Ability to work independently with minimal supervision
  • Ability to work with people from diverse backgrounds

RESPONSIBILITIES:

  • Adhere to policies and procedures, making recommendations that will improve the overall efficiency and performance of Metro Phoenix event promotion, partnership and possible fund raising in concert with the Divisional Development team.
  • Responsible for coordinating Divisional Events and event support to all Metro Phoenix Corps as guided and approved by the Metro Phoenix City Administrator.
  • Manage and supervise the Metro Phoenix Event Logistics Coordinator
  • Responsible for producing annual event and project calendar for Metro Phoenix
  • Develop and manage event budget(s) to submit for review and approval.
  • Research, brainstorm and generate creative techniques and methods to continually improve upon events
  • Responsible for coordinating logistics, finances, venue, preparation, planning and closeout of events.
  • Establish contracts with vendors and venues and process for review and approval
  • Produce detailed event timelines, run of show in coordination with planning committee.
  • Manage execution of Holiday Dinners to ensure operation is executed efficiently by TSA staff, committees, volunteers, vendors, etc.
  • Coordinate and manage the use of volunteers for all Metro Phoenix events and related activities.
  • Recruit, schedule, and communicate with volunteers for Metro Phoenix seasonal and year-round programs and events.
  • Ensure proper volunteer screening, background checks, training, and compliance with Protect the Mission policies and volunteer risk-management protocols.
  • Maintain and update the volunteer database and manage volunteer communications, confirmations, and assignments for Metro Phoenix.
  • Develop and maintain relationships with corporate and community partners interested in volunteer opportunities in coordination with Corporate Relations.
  • Provide guidance and support to Metro Phoenix Units and program staff regarding best practices in volunteer management and event support.
  • Plan and coordinate volunteer recognition and appreciation efforts through Metro Phoenix.
  • Ensure volunteers supporting events and programs have a positive and meaningful service experience.
  • Respond to volunteer inquiries and coordinate volunteer participation for Metro Phoenix major holiday and special event activities.
  • Support volunteer engagement through presentations, tours, and community outreach opportunities.
  • Attend networking events and participate in community groups that will expose TSA to beneficial relationships for event; consistently explore ways to create partnerships with local businesses and vendors to enhance events for potential fundraising and promotional opportunities.
  • Work with the Community Relations Director to ensure effective public relations and communication with existing sponsors to keep them abreast of existing and upcoming TSA community engagements and for general event promotion
  • Work in conjunction with the Public Relations Director, Community Relations Director and Social Media and Marketing Manager to effectively market events
  • Assist in the preparation and distribution of written materials to support event activities such as brochures, media stories, meeting minutes, letters, event programs and articles
  • Conduct post-event evaluation, including data entry and analysis and producing reports for event stakeholders
  • Ensure all necessary parties are thanked in a timely manner
  • Coordinate the dismantling and removal of event paraphernalia and clearing the venue efficiently
  • Work as a resource to the Advisory and Executive Boards, and provide staff support to the Program and Event Committees
  • Be familiar with the goals and objectives, organizational structure, and reporting hierarchy of all TSA operations.
  • Develop and maintain relationships with corporate and community partners in support of events and in conjuction with the Divisional Corporate Relations Director.
  • Work closely with the Development Director, Phoenix area Officers & Corporate Relations Director in managing corporate partnerships in support of Metro Phoenix events
  • Build good working relationships with Corps Officers, Advisory Board (Council) members, program directors, volunteers, and other supporters/potential supporters.
  • Manage the cultivation process, with emphasis on educating corporations on Salvation Army programs available for corporate event partnership in cooperation with the Divisional Corporate Relations Director.
  • Work with the Divisional Public Relations Director to assist in writing event speaking points and scripts when necessary
  • Record and report all activities and production statistics on a regular (monthly) basis to the Phoenix Metro Administrative Assistant
  • Solve problems effectively and creatively managing any unforeseen situations or demands
  • Be willing and prepared to represent The Salvation Army at public meetings, seminars, service clubs, corporations, and other group gatherings
  • Cooperate and participate in approved training programs
  • Other duties as assigned as it relates to the position
