TRAVEL REQUIREMENTS: This role requires significant travel and flexibility. Regular event travel and attendance at staff meetings and trainings are essential. During peak event season (October through May), availability for weekend travel is expected.

HOW YOU WILL MAKE AN IMPACT

The Event Coordinator Supervisor is a key leader within Varsity All Star Operations, responsible for driving regional event execution, financial performance, and operational consistency. This role provides direct leadership and oversight of the regional operations team, ensuring events are executed safely, efficiently, and in alignment with company standards and financial goals.

This position owns regional performance outcomes, including budget adherence, margin optimization, team effectiveness, and overall event quality. The Supervisor partners closely with cross-functional and regional leadership to scale best practices, improve processes, and enhance the customer and staff experience across all events.

WHAT YOU WILL DO

Regional Leadership & Team Management

  • Provide direct leadership, coaching, and development to the regional operations team, specifically Event Coordinators and supporting roles.
  • Establish clear performance expectations and hold team members accountable for execution quality, financial outcomes, and operational standards.
  • Lead hiring, onboarding, training, and ongoing development of team members in alignment with company processes and compliance requirements.
  • Conduct performance evaluations, provide real-time feedback, and support career development and succession planning.
  • Foster a high-performance, collaborative team culture focused on accountability, engagement, and continuous improvement.
  • Manage team capacity and align staffing resources with event demands across the region.

Financial Leadership & Accountability

  • Oversee regional event financial performance, ensuring alignment with budget targets, margin expectations, and cost controls.
  • Review and approve event budgets, forecasts, and post-event financials prepared by Event Coordinators.
  • Identify and implement cost-saving opportunities and margin improvements across events and vendors.
  • Monitor financial trends and partner with leadership to proactively address risks and optimize profitability.
  • Ensure accurate and timely financial reporting, forecasting, and reconciliation processes.

Event Operations Oversight

  • Provide oversight and direction for planning and execution of all regional events, ensuring consistency with company standards and best practices.
  • Serve as an escalation point for complex or high-risk events, providing guidance and real-time decision-making support.
  • Ensure consistency in:
    • Event planning timelines and deliverables
    • Safety and compliance standards
    • Staffing models and labor planning
    • Vendor coordination and execution
  • Partner with Event Coordinators to review event plans, troubleshoot challenges, and drive operational excellence.
  • Maintain accountability for overall event execution quality, safety, and customer experience.

Operational Strategy & Continuous Improvement

  • Drive standardization of processes, tools, and best practices across the region.
  • Leverage post-event data and team feedback to identify trends and implement operational improvements.
  • Partner with leadership to support long-term operational strategy and scalability.
  • Lead or contribute to cross-regional initiatives aimed at improving efficiency, communication, and execution.
  • Ensure consistent communication and dissemination of operational updates to all team members and stakeholders.

Cross-Functional & Stakeholder Collaboration

  • Partner with regional and national leadership, including the Director of Event Operations and Regional General Managers, to align goals and execution strategies.
  • Collaborate with internal teams such as finance, logistics, production, retail, and customer experience to support successful event delivery.
  • Oversee and maintain key vendor relationships, ensuring service quality, cost efficiency, and alignment with operational needs.

Event Participation

  • Serve in a leadership role at events, as needed, including oversight of large-scale or complex deployments.
  • Provide onsite leadership support, ensuring alignment to standards and coaching team members in real-time execution.

QUALIFICATIONS

Knowledge/Skills/Abilities:

  • Strong financial acumen, including budgeting, forecasting, and P&L interpretation.
  • Proven people leadership experience, with the ability to coach, develop, and hold teams accountable.
  • Demonstrated ability to drive operational strategy, process improvement, and change management.
  • Strong organizational and project management skills with attention to detail.
  • Excellent communication and interpersonal skills, with the ability to influence across functions.
  • Ability to analyze data, identify trends, and make informed decisions.
  • Proficiency in Microsoft Office (especially Excel), Salesforce, Workday, and related systems.
  • Ability to operate effectively in a fast-paced, high-volume environment.

Supervisory Responsibility:

  • This position has direct supervisory responsibility for regional operations team members, including Event Coordinators and other supporting roles.

Education/Experience:

  • Bachelor’s degree in business or related field or equivalent work experience.
  • Minimum of 5 years industry experience

PHYSICAL REQUIREMENTS:

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • While not participating in an event this job operates in a professional office environment. Largely a sedentary role with some filing requiring the ability to lift files, open filing cabinets and bending or standing on a stool as necessary. Ability to sit or stand for long periods through meetings and while operating office equipment, PC’s, laptop, telephone will be required.
  • During events the ability to stand and walk for long periods of time (5 hours plus) is required. The ability to communicate with customers and colleagues using the following but not limited to radio, walkie talkie, text message and email is required. The ability to lift, bend, push, pull and manipulate equipment that is a minimum of 30 lbs. is required.
