About the role

Djirra is seeking an experienced Event Coordinator to join our Fundraising, Grants & Events team on a fixed-term basis. This is a fantastic opportunity for a skilled event coordinator to step into a pivotal, organisation-wide role at a time when impactful, well-managed community events and gatherings are critical to the continued delivery of culturally safe, effective programs and services for Aboriginal women.

To support this mission, Djirra organises and hosts a number of non-client facing and community engagement events throughout the year including for our 16 Days of Activism campaign, donor engagement activities, launches and for our 25th anniversary in 2027.

Working closely with the Team Leader the Event Coordinator will organise, oversee and coordinate events, including, but not limited to: -

• Planning the operational requirements of any events from start to finish according to requirements, target audience and objectives.
• Working closely with Djirra’s Community Engagement teams to engage and utilise their knowledge, community links and event suppliers.
• Support the communications team to ensure events are delivering against key campaign objectives.
• Maintain and update event information, including via websites.
• Administer expenses to ensure delivery within the budget.
• Maintain meeting calendars and ensure event planning is on track.
• Ensure the event runs and is completed smoothly and resolve any problems that might occur.
• Assist with the coordination of invitation lists in partnership with the Office of the CEO and Senior Leaders.

What you'll do

• Act as the primary contact for participant inquiries and concerns.
• Oversee operations in relation to seeking and assessing abstracts, and developing the program, working with a committee.
• Source and negotiate with venue, vendors and suppliers.
• Coordinate all operations, working with external event management companies if relevant or appointed.
• Ensure the event runs and is completed smoothly and resolve any problems that might occur.
• Manage expenses within the allocated budget.
• Maintain meeting calendars and ensure planning is on track.
• Chair and support the Event Committee.
• Maintain and update event information, including via websites.
• Support with media/social media engagement for the event(s). This may include drafting media releases and utilising social media platforms, including X, Facebook and others as required in partnership with communications colleagues.

Who you are

• You bring demonstrated events management or high-level coordinator experience, and/or previous conference organisation experience.
• You have experience in a similar role within an Aboriginal Controlled Community Organisation (ACCO), which is highly desirable.
• You possess a strong knowledge of marketing and promotional techniques for events.
• You have proven experience in managing and tracking event budgets.
• You have ability to work or learn to work within an Aboriginal organisation and work with Aboriginal communities and individuals in culturally appropriate ways as well as mainstream organisations
• You possess strong time management skills
• You have a demonstrated ability to work effectively as part of a collaborative team
• You have confident communicator internally and externally
• You bring strong skills in influencing and negotiating, fostering collaboration, understanding various perspectives and getting the best outcomes for all stakeholders.
• You have Intermediate PC skills, including strong familiarity with Microsoft suite of tools
• You possess an intermediate level of usage of social media platforms, including X and Facebook
• You hold a current drivers licence and willingness to travel

Requirements

Essential

• A Victorian Employees Working with Children's Check card or willing to obtain one
• Willing to obtain a Police Check at Djirra's expense
• A relevant tertiary qualification in Arts, Communications, Community/International Development, Health or related field or commensurate work-related experience.
