Job Description
The Event Coordinator serves as the primary operational contact for assigned events, providing exceptional client service and coordinating all event planning activities from contract execution through event settlement. This position works closely with clients, promoters, tenants, internal departments, vendors, and production teams to ensure each event is planned, communicated, and executed in accordance with client expectations and T-Mobile Center operational standards.
The Event Coordinator is responsible for managing event logistics, coordinating facility resources, communicating operational requirements across departments, and fostering strong client relationships that contribute to a successful event experience.
Essential Duties:
Client & Event Management
- Serve as the primary operational contact for assigned events from booking through event completion.
- Build and maintain positive working relationships with clients, promoters, tenants, and event partners by providing responsive, professional, and solution-oriented customer service.
- Guide clients through the event planning process by interpreting contract provisions, venue policies, operational procedures, and event timelines.
- Coordinate event logistics, schedules, and operational requirements to ensure successful execution of each event.
- Proactively follow up on client requests, questions, concerns, and operational changes throughout the planning process.
Event Planning & Coordination
- Coordinate planning activities for concerts, sporting events, family shows, corporate events, hospitality functions, and other venue events.
- Monitor event planning deadlines, including floor plan submissions, production schedules, insurance requirements, staffing requests, and other operational milestones.
- Coordinate hospitality and operational requirements while ensuring compliance with venue policies and client expectations.
- Identify operational issues and collaborate with internal departments to develop timely solutions.
the Cross-Functional Communication
- Develop, compile, and distribute detailed event production notes and operational documents to internal departments.
- Serve as a liaison between clients and venue departments inclu,ding Operations, Security, Guest Services, Box Office, Food & Beverage, Engineering, Housekeeping, Parking, and Production.
- Facilitate clear, timely, and accurate communication to ensure all departments are prepared for assigned events.
- Participate in production meetings, event planning meetings, pre-event briefings, and post-event reviews as required.
Event Documentation & Venue Planning
- Develop and maintain CAD drawings and seating configurations for ticketed events in collaboration with the Box Office and Production teams.
- Maintain organized event files, production documents, reports, floor plans, correspondence, and operational records.
- Ensure event documentation is accurate, current, and accessible throughout the planning process.
Operational Support
- Monitor assigned events to ensure operational plans are executed effectively and client expectations are met.
- Assist with event-day operational coordination and problem resolution as needed.
- Support continuous improvement initiatives by identifying opportunities to improve event planning processes and client service.
- Perform other duties and special projects as assigned.
Required Qualifications (Job Knowledge, Skills, and Education):
- High School Diploma or equivalent required.
- Two to four years of experience in event coordination, event operations, venue management, hospitality, convention services, sports and entertainment, or a related field.
- Demonstrated experience coordinating multiple projects and managing competing priorities in a fast-paced environment.
- Strong organizational, planning, and time management skills with exceptional attention to detail.
- Excellent interpersonal, verbal, and written communication skills.
- Strong customer service orientation with the ability to build positive relationships with clients and internal stakeholders.
- Ability to exercise sound judgment, solve problems independently, and adapt to changing priorities.
- Ability to work collaboratively across multiple departments and with individuals at all organizational levels.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, Teams, and other business software.
- Ability to learn venue management and event management software.
- Ability to work a flexible schedule including evenings, weekends, holidays, and extended hours based on the event calendar.
- Ability to walk, stand, climb stairs, and move throughout the facility for extended periods.
Preferred Qualifications:
- Bachelor's degree in Event Management, Hospitality Management, Business Administration, Sports Management, or a related field.
- Experience working in an arena, stadium, convention center, performing arts venue, or other large public assembly facility.
- Experience coordinating concerts, sporting events, or live entertainment productions.
- AutoCAD experience preferred.
- Familiarity with venue management software such as Momentus (formerly Ungerboeck), AutoCAD, or similar event management platforms.
