Job Description

The Equipment Coordinator is responsible for a wide variety of tasks related to the scheduling, maintenance, and repair of company-owned and rented equipment.

Essential Duties and Responsibilities

• Coordinate equipment distribution throughout the company network, ensuring efficient asset allocation with a strong focus on just-in-time delivery and utilization.

• Maintain accurate tracking of hundreds of assets across multiple departments with a high level of attention to detail.

• Recommend the use of company-owned versus rental equipment based on project timelines, equipment availability, and cost-effectiveness.

• Serve as a liaison with vendors, parts suppliers, and repair technicians to expedite repairs and manage warranty claims.

• Track and report fuel consumption and equipment operating expenses.

• Utilize telematics and GPS tracking systems to monitor equipment utilization, generate reports, and identify opportunities for improvement.

• Coordinate scheduled maintenance services and unscheduled equipment repairs.

• Conduct regular audits of equipment inventory and the company-authorized operator list.

• Communicate equipment incidents and damage claims to company administration and assist with claim documentation as needed.

• Organize storage areas, load and unload freight, and prepare equipment for transportation and deployment.

• Effectively interact with employees, managers, customers, and vendors to resolve scheduling and equipment allocation conflicts.

• Enforce safety protocols, ensure compliance with OSHA regulations and industry standards, and maintain records of required equipment operator certifications.

Education and/or Work Experience Requirements

• High school diploma or GED required.

• Must possess and maintain a valid driver's license.

• One to three years of fleet, equipment, or asset management experience preferred.

• Proficiency with Microsoft Office applications, including Excel, Outlook, and Word.

• Experience with fleet management software, telematics platforms, or asset tracking systems preferred.

• Strong organizational, problem-solving, and time management skills required.

Physical Requirements / Work Environment

• Frequently requires moving, lifting, and operating warehouse and yard equipment, including forklifts and pallet jacks.

• Ability to regularly lift and carry up to 50 pounds.

• Ability to travel to multiple job sites as needed.
