Job Description

Creates, analyzes, and supports provider and ancillary templates and scheduling configuration in order to maximize patient access for assigned operational units. Provides consultative support to operations on template implementation and configuration. Assures that provider and ancillary schedules are generated/modified efficiently and in a timely manner. In partnership with Operations and IT, provides analysis, testing, documentation, problem resolution and implementation of solutions as they apply to scheduling within UC Health.

Job Function: Operations

  • Reviews, prioritizes, and processes Cadence template support requests
  • Evaluates each request for conformity with Access Standards, follows up with clinical department personnel (Administrator, provider, staff) for resolution
  • Responsible to contact clinical department leadership to obtain missing information needed to process the request within an appropriate time frame
  • Uses system knowledge and critical thinking skills in building new templates /modifying existing templates
  • Understands implications of changes (visit types, durations, session limits, session time changes, etc.) and discusses any concerns with Manager, as appropriate
  • Documents template hold/unavailable reasons, notifies Access Center Leadership of bumped patients and reasons for cancels as well as makeup session time.
  • Reports any patterns or trends of suspected abuse of the Epic templates, Access Standards and/or change processes to Management, providing details.
  • Responsible for communicating new templates changes to all responsible parties’ (i.e. requester, Decision Tree and Access Center) to ensure awareness and cohesion
  • Revises template release dates, as requested

Job Function: Interdisciplinary Collaboration

  • Collaborates with access center leadership, department leadership and decision tree teams to resolve issues, improve workflows and patient access.
  • Proactively meets with and creates partnership with department leadership to coordinate optimal template designs, ensure appropriate maintenance and answer questions and solutions including system template standards

· Serves as a resource to department staff and to external departments with questions regarding functionality, options for template design, etc.

Job Function: Data Driven Capacity and Utilization Optimization

  • Assists with template audits and template improvement efforts
  • Runs reports and provides data to support departmental processes.

Job Function: Template Optimization

· Aids with template optimization, including basic review of templates, visit types, etc. to identify anything that appears to be setup incorrectly

· Audits template cancellations to ensure appropriate cancel reasons are used

· Makes system enhancement and/or process recommendations

Maintains a working knowledge of Epic Template and Scheduling Functionality

· Understands functionality of assigned application(s), the workflows have been defined, and the reasoning behind them

· Working knowledge of Cadence process as it pertains to template build and ability to troubleshoot scheduling issues

Job Function: Ad Hoc

  • Supports operational departmental access processes
  • Attends and participates in internal and interdepartmental meetings, as requested
  • Assist with testing for system upgrades, enhancements, etc.
  • All other duties as assigned

Education: HSD or GED is required - Associates Degree is preferred

License & Certification: Epic Cadence Certification: If certification is not held at time of hire, it must be obtained within first year in the role.

Years of Expereince: Willing to certify, license or graduate within 12 months, 7-11 months of experience is required. Recently certified, licensed or graduates within the past 12 months and 1-2 years of experience is preferred.

Required Skills & Knowledge:

  • Work requires an in-depth understanding of centralized call center operations and technologies.
  • Work requires experience in an academic medical center, large integrated health system.
  • Work requires strong leadership, team building and engagement, communication, problem solving, organization, and change management.
  • Work requires knowledge of EPIC and experience with Cadence, templates, and scheduling.

While the position is primarily remote, travel to the UC Health Business Center location may be necessary (e.g. training) Work hours will vary from time to time depending upon the needs of the business. Regular and predictable attendance is required for this position.
