GENERAL DESCRIPTION
To ensure smooth running and workflow in the Customer Services on a daily basis
Managing Conference Room bookings
To make bookings of conferences, meetings, seminars as requested via the Conference Booking requisition form
To make all the necessary arrangements as per requested in the booking form for the event.
To check all arrangements made are in order prior to the event.
Management of cards
To manage the KPJ Healthcare card for customers of KPJ Sabah Specialist Hospital e.g. keying in of details, keeping a record of all cardholders, etc
To ensure that cards printed out are correct and mailed to the customers.
Management of brochure and flyers
To ensure that all flyers and brochures are well displayed at the Customer Services.
Top up of flyers and reprinting is to be done if the flyers has been depleted
Handling of general inquiries and complaints
To ensure that all enquiries or complaints received from the customer is followed through.
To ensure that correct information is given to customers at all times.
To greet callers courteously and take down messages accurately.
Clerical duties
To ensure that the office area is clean and neat at all times
To type memos and letters as per instruction given.
To ensure that adequate paper is topped up at the Photostat machine, printer and fax machine
To manage the reading area e.g. arrangement of books, newspapers, magazines.
To assist in keying in of MCSI on a daily basis
JOB REQUIREMENT
Education:
Diploma in business with knowledge and skills in handling complaints
Knowledge and Experiences:
Minimum 2 years experience in any servicing environments
Special skills required
Proficient in writing and conversing in English and Bahasa Malaysia.
Caring, honest, and responsible workers and team player
Microsoft Office literacy
Personal attributes
Personable, responsible, mature, sensitive, confident and well presented. Highly motivated with a sincere commitment to quality improvement. Excellent team player, coordinator and facilitator. Able to portray an image of high quality of the hospital to the Patients and/or Visitors. Must be able to deal with staff at all levels of the organization.
