Job Description

Reporting to the Manager, Enterprise Project Management Office (EPMO) Shared Services, the Enterprise Project Resource Lead is responsible for leading the organizational resource planning for the EPMO and supports corporate portfolio execution by translating data into supply of resources versus workforce demands. Leveraging strong relationships across all areas of the business and understanding of corporate priorities and knowledge of alternative resource options, the Lead provides scenarios for project and initiative execution and enables cross-functional discussion resulting in feasibility recommendations.

Responsibilities

  • Maintain corporate visibility into project, initiative and operational resource capacity versus demand by managing the Enterprise Resource Management process.
  • Maintain corporate visibility into the organizational capacity available for initiatives, taking into account Net Annual Work Hours and the business-as-usual capacity needed for line of business execution.
  • Provide trusted data, including scenario-based options, to aid in feasibility analysis for Strategy and Corporate Project Governance.
  • Facilitate collaborative discussions and connect with leaders one-on-one to understand resource needs across the organization and assist in the scheduling of resources for projects and initiatives.
  • Proactively identify resource conflicts and resolve resource allocation issues by liaising with project managers or initiative owners and department leaders, understanding alternative resource options and leveraging corporate planning structures.
  • Create concise, audience appropriate presentations that describe the completed analysis and provide insights for decision making in senior management working sessions and executive level meetings.
  • Communicate resource demand and capacity from both an individual role level and a big picture perspective.
  • Develop audience specific reports and/or dashboards that provide requested granularity of information for tracking project, initiative and operational resources.
  • Recommend the evolution of Resource Management tools and templates to enable accurate reporting of resource utilization and resource availability.
  • Manage data to reconcile estimated versus actual resource requirements on projects and initiatives and prepare clear reports that highlight discrepancies. Document and track lessons learned to improve future forecasting.
  • Forecast ongoing projects and initiative resourcing, develop new procedures to analyze and report significant changes to resource utilizations and ensure data quality.

Qualifications

Education & Experience:

  • Degree in Human Resource Management, Commerce, Business Administration, Psychology or a related discipline.
  • Six years of progressively responsible experience in project coordination, resource coordination or workforce planning.

OR

  • Diploma or certificate from the Project Management Institute (PMI) or equivalent.
  • Seven years of progressively responsible experience in project coordination, resource coordination or workforce planning.
  • Experience in data analysis is required.
  • Experience in the insurance industry is an asset.

Technical Knowledge and Skills:

  • Natural collaborator who effectively develops relationships with leaders across the organization for the purpose of data exchange, clarification and follow up.
  • Skilled communicator with demonstrated proficiency in using visuals and strategic messaging in presentations that enable fact-based decision making.
  • Strong attention to detail and commitment to maintaining data accuracy.
  • Proficient ability to interpret, analyze, extract and compile data into actionable reports and dashboards.
  • Demonstrated ability to leverage analytical skillset to produce trend analysis, variance and status reports.
  • Exceptional administrative and organizational skills that support flexibility in prioritizing quick turnaround times with routine activities.
