RMIT Vietnam is seeking a contingent worker for the Enrolments and Student Records Officer While the position is advertised by RMIT Vietnam, the successful candidate will be employed and managed by an external service provider, who will be responsible for the labour contract.

The Enrolments and Student Records Officer is responsible for supporting the delivery of enrolment and student records processes across the student lifecycle at RMIT Vietnam.

The role supports the accurate and timely processing of student enrolments, variations, and records management activities in accordance with University policies and procedures. It contributes to the delivery of related administrative processes, including billing coordination, student visa and insurance support, and graduation and assessment-related activities.

Working under the guidance of the Senior Coordinator, Enrolments and Student Records, the position ensures data accuracy, supports workflow coordination, and responds to student and stakeholder enquiries to maintain efficient and high-quality service delivery.

Reports directly to: Senior Coordinator, Enrolments and Student Records (SGS)

KEY ACCOUNTABILITIES

  • Process student enrolment and student records activities, including enrolments, variations, and updates, in accordance with established procedures and timelines.
  • Maintain accurate and up-to-date student data across relevant systems, ensuring data integrity, confidentiality, and compliance with policies.
  • Support the administration of student lifecycle processes, including billing coordination, student visa and insurance support, examinations, and graduation-related activities.
  • Perform data entry, validation, and routine checks to ensure accuracy and completeness of student records and documentation.
  • Respond to student and stakeholder enquiries, providing accurate information and escalating complex issues where required.
  • Support the coordination of operational activities related to enrolments and student records, including documentation processing and workflow tracking.
  • Maintain working knowledge of relevant policies, procedures, and systems, and apply these in day-to-day operations.
  • Support the preparation and maintenance of process documentation and operational guidelines.
  • Collaborate with internal stakeholders, including Academic Schools, Student Connect, and Admissions teams, to support coordinated service delivery.
  • Contribute to process improvement initiatives by identifying operational issues and supporting enhancements to workflows and systems.
  • Undertake other duties as required by the line manager.
  • Other duties commensurate with the scope of the role

KEY SELECTION CRITERIA

  • A relevant tertiary qualification or an equivalent combination of relevant experience.
  • Demonstrated experience (typically 2–4 years) in administrative, enrolment, or student records processes, preferably within a higher education or service-oriented environment.
  • Strong attention to detail and accuracy in managing data and information.
  • Experience working with administrative systems, databases, or student information systems.
  • Demonstrated ability to follow processes and procedures and maintain compliance requirements.
  • Effective communication and interpersonal skills, with the ability to respond to enquiries and work with a range of stakeholders.
  • Ability to manage tasks, prioritise work, and meet deadlines in a structured environment.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office and relevant digital tools.
  • Demonstrated commitment to service quality, teamwork, and continuous improvement.
  • Ability to display appropriate behaviours in line with the position, RMIT Values and RMIT Leadership Model.
