Job Title: Admissions Enrollment Specialist
Classification: Exempt
Reports To: Vice President of Enrollment Management
Position Type/Expected Work Hours:
This is a full-time, exempt position. Standard work hours are Monday through Friday, 8:30 a.m. to 5:00 p.m. Evening and weekend hours may be required to support recruitment events, enrollment initiatives, and special projects. Flexibility is expected to meet the needs of the admissions cycle and institutional priorities.
Position Summary
The Admissions Enrollment Specialist serves as a critical member of the Enrollment Operations team, ensuring the accuracy, integrity, and timeliness of student applications and academic records. This role supports prospective and current students throughout the admissions lifecycle while maintaining compliance with institutional policies and FERPA regulations.
The Specialist plays a central role in advancing Sweet Briar’s enrollment growth strategy through operational excellence, data governance, and a high-touch service experience.
Key Responsibilities
Enrollment Systems & Data Governance
- Manage and audit admissions data within Technolutions Slate and Ellucian Banner.
- Oversee data integrations (Bridge Elite) to ensure accuracy and consistency across systems.
- Identify and resolve discrepancies; recommend and implement workflow improvements.
- Serve as a functional expert in CRM and student information system processes.
- Ensure compliance with FERPA and institutional data security standards.
Operational Leadership
- Develop and maintain correspondence workflows, including admissions decisions and merit award communications.
- Provide accurate enrollment data to Academic Affairs, Student Life, Financial Aid, and IT.
- Collaborate with Financial Aid to reconcile FAFSA records and eliminate duplicate files.
- Support enrollment reporting, forecasting, and data-informed decision-making.
Strategic Enrollment Support
- Ensure operational systems effectively support recruitment and enrollment targets.
- Recommend process enhancements to improve efficiency and applicant experience.
- Serve as a resource and trainer for admissions staff on CRM best practices.
Supervisory Responsibilities:
May supervise and train student employees and provide functional guidance to admissions staff regarding CRM and data processes.
Enrollment Specialist
Required Qualifications
- Bachelor’s degree.
- Minimum of two years of experience in enrollment operations, admissions, or higher education administration.
- Demonstrated experience with Technolutions Slate and Ellucian Banner (or comparable CRM/SIS platforms).
- Strong analytical skills with a commitment to data integrity and accuracy.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
