Germanna Community College is a public, open access institution of higher education in the Virginia Community College System. The College is a dynamic learning organization that serves as a Germanna regional leader and preferred partner where quality learning experiences enable students to participate effectively in the social, economic, political, intellectual, and cultural life of their communities. Germanna Community College is centrally located in Fredericksburg, VA between Washington D.C. and Richmond and between the Blue Ridge mountains and the Chesapeake Bay. Full of history, the area offers a community rich with diversity, the arts, technology, vineyards, hiking, canoeing/kayaking, and many other activities.

Germanna Community College is seeking a Part-Time Enrollment Services Specialist to work in the Enrollment Lab and Student Help Desk within Enrollment Services at the Locust Grove Campus. This student-centered role guides prospective, new, and continuing students from their initial inquiry through application, onboarding, registration, and enrollment.

The position also supports specialized admissions and enrollment activities for Health Care Technology and international students. The specialist provides responsive support in person and online, helps students overcome enrollment barriers, and connects them with appropriate college resources. The successful candidate will deliver timely follow-up, demonstrate empathy, and provide excellent customer service in a fast-paced, high-touch educational environment.

Major Duties and Responsibilities:

  • Provide coverage for Welcome Center kiosks and virtual service platforms, serving as a first point of contact for students, families, and community members.
  • Assist students with system access, application completion, admissions onboarding, course registration, and basic financial-aid guidance.
  • Provide accurate referrals and warm handoffs to Counseling, Advising, Accessibility Resources, Veterans Affairs, Testing, Financial Aid, and other student-support services.
  • Help students review schedules and conduct timely outreach by email, text, and telephone.
  • Support students in person and online, respond to email requests, and receive and process student documentation accurately.
  • Provide excellent customer service, timely follow-up, and empathetic support in a high-touch environment.
  • Identify and troubleshoot barriers affecting admissions onboarding or enrollment and clearly explain the onboarding process and next steps to new students.
  • Assist with Student Help Desk inquiries related to online services, account access, system navigation, and technology.
  • Maintain accurate, complete, and confidential records of student and prospective-student interactions and follow-up actions.
  • Collaborate with Enrollment Services colleagues and campus partners to provide seamless service and resolve student concerns.
  • Process Admissions and Records transactions, including documentation intake, record updates, program changes, FERPA releases, and registration requests using the Student Information System and Perceptive Content.
  • Support specialized admissions and enrollment processes by reviewing Health Care Technology applicants, registering Dual Enrollment students, and guiding international applicants through applicable admissions requirements.
  • Maintain flexibility and a willingness to provide coverage at other Germanna locations as operational needs require.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.


KSA's/Required Qualifications
  • Previous experience in Enrollment Services, an Admissions Office, as an Enrollment Support Specialist, or in a related student-support role.
  • Proficiency in Microsoft Office and data management.
  • Experience using a Student Information System such as PeopleSoft, Banner, Navigate, or a similar platform.
  • Strong analytical skills and the ability to make informed decisions.
  • Detail-oriented work habits and the ability to maintain confidential information.
  • Excellent customer service skills and the ability to handle stressful situations professionally.
  • Ability to maintain confidentiality and comply with FERPA and institutional requirements

Additional Considerations
  • Bilingual proficiency in Spanish
  • Experience working with students in a higher education setting.
  • Knowledge of EAB Navigate and other CRM systems.
  • Experience with or willingness to learn artificial intelligence tools.
  • Excellent problem-solving skills and the ability to connect with a large student and community population.
