About this position

The enrollment assistant supports enrollment services by providing a welcoming and efficient experience for families entering the organization’s voucher programs. This role assists with day-to-day enrollment activities, including responding to inquiries, helping families complete applications, maintaining accurate records, and ensuring required documentation is collected and organized. With a strong focus on customer service and attention to detail, the enrollment assistant helps facilitate a smooth enrollment process while building positive relationships with families and collaborating with internal teams to support program capacity and organizational goals.

What you’ll be doing

  • Answering telephones, assisting callers or transferring calls that need program specialist attention, as well as providing phone call follow-up as needed;
  • Providing general clerical support to program staff;
  • Maintaining family files, provider files, and eligibility list of families;
  • Directing the flow of family and provider paperwork to the program specialists;
  • Serving as receptionist when needed;
  • Typing correspondence, memos, reports, and other documents;
  • Receiving and processing program mail, including metered mail, bulk mail, FedEx, USPS, and other postal duties;
  • Loging documentation into database in a timely manner, in accordance with program regulations and guidelines;
  • Assisting program senior specialist and/or program supervisor as needed;
  • Preparing child care request packets for enrollment and provider packets;
  • Offering technical support and assistance, as needed, to parents and providers;
  • Reading and implementing all organization and program policies and procedures;
  • Accurately completing all assigned paperwork and documentation on a timely basis, according to organization policies and procedures;
  • Assisting management as needed;
  • Attending training as required;
  • Performing other duties as assigned.

What you bring to the table

  • Intermediate knowledge of Microsoft Office suite (Excel, Word, and Outlook);
  • Ability to communicate in written and oral English correctly and effectively;
  • Discretion in handling confidential information and ability to honor confidentiality and work sensitively and supportively with the public;
  • Ability to work with minimal supervision;
  • A California driver's license, daily use of an automobile, and automobile liability insurance (preferred);
  • Command of Spanish, Cantonese, Mandarin or Vietnamese (preferred).

Job specifications

  • Reports to the enrollment supervisor;
  • Temporary (up to four-month duration) with no benefits;
  • Eight-hour workday, four-day workweek;
  • Hybrid work schedule with approval by management;
  • Limited evening or weekend work may be required;
  • Employment, responsibilities, compensation and other factors may be affected by changes in governmental regulations, the organization’s contracts, or at the organization’s discretion.

Salary

  • $19.83 - $26.44 per hour (candidates should anticipate receiving an offer within the first quartile of the salary range).
