General
Summary
The Enrollment Assistant for Doctoral Programs supports the full lifecycle of doctoral student enrollment, from initial inquiry through matriculation. This role ensures a smooth, informed, and personalized experience for prospective doctoral candidates by coordinating communication, managing application materials, maintaining accurate records, and assisting with admissions processes. The assistant works closely with admissions and program directors, faculty, and administrative offices to uphold high standards of service and compliance.
Essential Duties & Responsibilities
- Maintain accurate enrollment records and support the enrollment process through effective coordination across departments.
- Provide timely and professional responses to student inquiries through the designated doctoral admissions inbox and phone communications.
- Provide detailed information about program requirements, application steps, and deadlines for prospective students as needed.
- Assist with scheduling appointments, interviews, and orientations.
- Maintain digital records in the institution’s student CRM.
- Monitor application status and communicate missing items to applicants.
- Assist with preparing applicant files for committee review.
- Generate reports on applicant progress, funnel metrics, and enrollment trends.
- Assist with decision notifications and ensure admitted students receive next step instructions.
- Support scholarship, transfer credit, and financial clearing workflows.
- Coordinate with financial aid, registrar, and student services to resolve onboarding issues.
- Assist with planning information sessions, PhD Immersion, and DBA Residency.
- Assist with lead generation and outreach campaigns to applicants, accepted students, and stop outs.
- Represent the programs at recruitment events, if necessary.
- Assist with website and marketing material updates.
- Completes other duties relevant to position, as assigned by the Director of Doctoral Admissions.
Qualifications
- Completion of a bachelor’s degree.
- Ability to work independently and maintain confidentiality.
- Excellent interpersonal, written, and verbal communication skills.
- Ability to learn and communicate about Indiana Tech’s doctoral programs, scheduling and enrollment process.
- Extremely detail-oriented. Ability to juggle multiple projects at once.

Experience
At least five years of work experience in customer service, student support, recruitment, or a similar role with advanced knowledge of the systems, processes, and procedures as they pertain to the organization. Experience working with online graduate students and adult learners preferred.
