Job Purpose

To coordinate all administrative tasks of the engineering department ensuring smooth workflow.

Key Responsibilities

  • Support preparation of Engineering presentations and tracking of Engineering KPIs.

  • Compile, validate, and upload sustainability data (Energy- Electricity, all diesel souses with evidence) Energy calculations, upload to the EHS One, maintaining Energy KPI portal with the supporting evidence.

  • Act as site representative for Sustainability global audits, including coordination and evidence management.

  • Perform commercial evaluations including offer comparisons, fair market value analysis, IRR, and NPV calculations for Engineering initiatives.

  • Coordinate with Finance and Procurement on Engineering-related payments, invoices, and purchase orders.

  • Obtain quotations for Engineering purchases, liaise with Procurement, and raise POs in Ariba.

  • Complete GRNs for issued POs and follow up on payments when required.

  • Track invoice values against PO values, maintaining separate records for Routine Maintenance and CAPEX.

  • Maintain all Engineering service agreements, monitor validity, and escalate potential delays in advance.

  • Coordinate with Engineering contractors and suppliers as guided by the Engineering Manager and Senior Engineering Manager.

  • Perform TPRM (Third Party Risk Assessment) and vendor registration processes.

  • Maintain the Engineering Drawing Register with proper numbering, version control, and segregated folder structure.

  • Maintain Engineering manuals with a structured index and controlled access.

  • Perform VQD Coordinator role, managing all Engineering-related quality documentation and records.

  • Maintain all Engineering SOPs up to date in VQD, ensuring compliance with version control requirements.

  • Issue and maintain controlled copies of Engineering SOPs, maintain SOP cupboards with current versions, and issue SOP annexure books.

  • Communicate and update relevant stakeholders on important SOP revisions in a timely manner.

  • Carry out revalidation of utility equipment and maintain proper documentation.

  • Perform assigned CMMS-related activities, ensuring accurate documentation and system updates within authorized access.

  • Carry out Engineering tasks and actions in compliance with CMMS, VQD, and EHS One systems within defined authority levels.

  • Ensure timely completion and closure of VQD and EHS One actions.

  • Conduct Self‑Inspection Audits and complete ZAP reporting, escalating deviations appropriately. Prepare and manage the annual Engineering spares audit schedule, ensuring: At least one audit per month, Minimum five different items per audit, Sixty items audited annually

  • Timely escalation of deviations to Engineering Manager and Senior Engineering Manager

  • Support Engineering spares cycle count activities.

  • Oversee and support building maintenance activities, including documentation and coordination.

  • Involve in other Engineering department–related documentation and coordination work as required.

EHS AND QUALITY RESPONSIBILITIES & COMMITMENT

  • Demonstrate personal commitment on ensuring global EHS and quality policies and guidelines.

  • Stringently comply and maintain all the engineering log sheets, which need signatures of Assist. Engineering manager/engineering manager/Senior engineering manager

  • Ensure compliance of relevant work area to HALEON EHS and quality policies, guidelines, and local regulations.

  • Timely communication of EHS and quality information.

  • Timely communication of EHS/ Quality, ZAP information.

  • Ensure to complete training/ E-learning on time.

  • Follow life saving rules and personnel engagement of key EHS programs in the site.

Scope of Accountability: Job holder needs to support Engineering division of SC Mt. Lavinia plant

Knowledge/ Education / Experience Required

  • Should possess a Diploma or higher diploma in engineering/science related fields. Specialization in Science or Engineering

  • At least 02 years Industrial experience in similar capacity, preferably in food or pharmaceutical industry

  • Should demonstrate sound knowledge on Business, Engineering and EHS standards in large scale manufacturing environments.

  • Should be able to demonstrate and apply IT skills preferably with hands on capability in AutoCAD package.
