We are seeking an experienced Engineering Assistant with 10–15 years of professional experience supporting engineering leadership and project teams.
This role provides high-level administrative and project coordination support to engineering management. The ideal candidate will be highly organized, detail-oriented, and capable of managing documentation, communications, scheduling, and financial tracking activities to ensure the successful execution of engineering projects.
Key Responsibilities
Project Documentation & Organization
- Create, organize, and maintain project documentation including:
- Engineering plans
- Schedules
- Budgets
- Reports
- Ensure all documentation is accurate, current, and accessible.
- Maintain document control and version tracking.
Communication & Coordination
- Facilitate communication among project team members, stakeholders, and contractors.
- Prepare and distribute meeting agendas, minutes, and status updates.
- Assist with internal and external communications related to engineering projects.
Scheduling & Logistics
- Coordinate meetings, site visits, and project-related events.
- Support engineering management with calendar coordination.
- Track and follow up on action items and milestones.
Budget & Financial Support
- Assist in monitoring project budgets and expenses.
- Support preparation of financial reports and forecasts.
- Track project cost data and highlight potential variances.
Data Analysis & Reporting
- Collect and analyze project data to identify trends.
- Prepare summary reports and recommendations based on analysis.
- Support continuous improvement initiatives within the engineering team.
Required Qualifications
- Accredited Bachelor’s degree (Engineering preferred).
- 10–15 years of experience in engineering administrative or project coordination roles.
- Proficiency in:
- Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Project management software
- Data analysis tools
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- Strong interpersonal skills and ability to collaborate across diverse teams.
