Job Description

Michigan Broadband Services delivers broadband and telecommunications services across Michigan's Upper Peninsula and northern Lower Peninsula. As we continue expanding our network, integrating newly acquired service areas and customers, and managing a growing portfolio of state and federal broadband programs, we are seeking an Engineering Administrative Coordinator to support our growing Engineering team.

This newly created position will serve as the organizational backbone of the Engineering department, coordinating workflows, tracking projects and deadlines, managing departmental documentation and data, and ensuring critical information moves efficiently between Engineering and other areas of the company. The role combines administrative coordination, project tracking, regulatory reporting support, and data management, making it essential to keeping Engineering projects and requirements moving forward.

This is a full-time, onsite position at our Carney office, reporting directly to the Director of Engineering. This role is primarily office-based and involves extended computer use, with occasional travel to other company locations as needed.

We are looking for a highly organized, proactive administrative professional who takes ownership of their work. This ideal candidate will be comfortable coordinating across departments, following up on outstanding information, managing multiple deadlines, identifying gaps, and ensuring commitments are completed. Because priorities can shift quickly and multiple projects may be moving simultaneously, the ability to stay organized, focused, and steady under pressure is essential.

What You’ll Do

  • Coordinate Engineering projects through a defined, step-by-step workflow, tracking progress, deadlines, handoffs, and outstanding items to keep work moving from design through production.
  • Work with the Director of Engineering and other departments to ensure projects, materials, approvals, and information are completed accurately and on schedule.
  • Coordinate recurring regulatory, funding, compliance, and operational reporting. Maintain reporting calendars and supporting documentation, gather information from internal departments, review submissions for completeness and accuracy, and follow up on missing or overdue information.
  • Support reporting related to FCC, MPSC, USDA, BEAD, METRO Act, Enhanced A-CAM, MISS DIG/USIC, FCC Fabric, and other regulatory or funding requirements as assigned.
  • Serve as the internal point of contact for OSP damage claims, coordinating with field, construction, engineering, finance, and other departments to gather required documentation and ensure claims are submitted and tracked appropriately.
  • Maintain accurate and organized Engineering records, including spreadsheets, databases, maps, project trackers, facility and damage records, and regulatory documentation. Identify missing or inconsistent information and coordinate corrections.
  • Provide general administrative support to the Engineering department, including purchase orders, timesheets, reports, spreadsheets, correspondence, meeting coordination, action-item tracking, and status updates.
  • Handle company, customer, financial, operational, and regulatory information with discretion and maintain confidentiality.
  • Assist with any other engineering duties as assigned by the Director of Engineering

Required Qualifications

  • High school diploma or equivalent.
  • Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Exceptional attention to detail and accuracy.
  • Proficiency with Microsoft Office, particularly Excel, Outlook, Word, and Teams.
  • Clear, professional written and verbal communication skills.
  • Ability to work independently, take initiative, and follow tasks through to completion.

Preferred Qualifications

  • Associate's or bachelor's degree, or equivalent professional experience.
  • Two or more years of experience in administrative support, reporting, project coordination, or departmental support.
  • Experience in telecommunications, utilities, construction, engineering, or a related field.
  • Experience with regulatory, government funding, compliance, claims, or damage reporting.
  • Familiarity with GIS, facility records, or outside plant operations.
