Job Description

We are seeking an experienced and highly organized Administrative Assistant to support senior leadership within Engineering and be the Bellevue office organizational admin. This role provides traditional executive administrative support while also serving as a partner to the Chief of Staff and organization, helping drive operational efficiency, employee experience, onboarding coordination, and cross‑functional execution for the Engineering organization.

The ideal candidate is a proactive professional who thrives in a fast‑paced environment, brings strong judgment and discretion, and is excited to extend beyond classic administrative responsibilities into people, office, and business support—working closely with senior leaders, HR partners, and the broader engineering organization to keep priorities moving forward.

Responsibilities

Executive Administrative Support

  • Provide administrative support to local senior leadership within Engineering
  • Coordinate complex, senior‑level internal and external meetings and conference calls
  • Maintain extremely detailed and complex calendars, prioritizing requests and managing logistics across time zones
  • Interact with senior business leaders and stakeholders with professionalism, diplomacy, and discretion
  • Coordinate domestic and international travel arrangements and process expense reports
  • Manage invoices, expense allocations, and payment processing
  • Maintain strong understanding of firm policies and handle certain issues independently
  • Support onboarding, transfers, and offboarding processes in coordination with HR and Chief of Staff
  • Perform general administrative duties, ad‑hoc projects, committee work, and group events
  • Partner with conference and catering services for meetings and leadership engagements
  • Order office supplies and maintain inventory

Operational Support

  • Act as a day‑to‑day execution partner to senior leaders, helping track priorities, follow‑ups, timelines, and deliverables
  • Partner with HR to support onboarding processes, ensuring a smooth, welcoming, and well‑organized employee experience
  • Assist with HR administrative tasks, including record‑keeping, policy rollout support, and employee inquiries
  • Support office and workplace operations, helping ensure a functional, well‑run, and productive environment
  • Assist with coordination of local office‑related budgets, invoices, and expense tracking
  • Serve as a coordination point for select cross‑departmental initiatives, supporting communication and workflow alignment
  • Support process improvement initiatives by identifying inefficiencies and helping implement practical solutions
  • Coordinate key business meetings, leadership programming, and employee engagement events
  • Contribute to a positive, inclusive, people‑first culture and act as a visible culture carrier for Engineering

Qualifications

Basic Qualifications

  • 4-6+ years of experience in an administrative, operations, HR support, or business support role within a fast‑paced environment
  • Strong proficiency in Concur, MS Word, Excel, PowerPoint, and Outlook
  • Exceptional organizational skills with a high attention to detail
  • Strong interpersonal and communication skills with the ability to work across all organizational levels
  • Ability to manage multiple priorities while maintaining high standards and professionalism
  • Sound judgment and ability to handle highly sensitive and confidential information
  • Self‑starter with strong anticipation, follow‑up, and problem‑solving skills
  • Demonstrated integrity, dependability, and sense of urgency

Preferred Qualifications

  • Experience supporting senior leaders within Engineering, Technology, or Financial Services
  • Exposure to HR operations, onboarding coordination, or office management
  • Experience supporting business initiatives or leadership priorities in a junior Chief of Staff–type capacity
  • Bachelor’s degree preferred (business, communications, HR, or related field)
  • Proficiency with Excel‑based tracking, presentation development, and emerging productivity / AI tools
  • Interest in growing into broader operational or strategic support over time

Salary Range

The expected base salary for this Seattle, Washington, United States-based position is $65000-$110000. In addition, you may be eligible for a discretionary bonus if you are an active employee as of fiscal year-end.
