Are you a highly organized HR professional with a passion for delivering an exceptional employee experience? We are seeking an experienced Employment Coordinator to support and coordinate critical employment and onboarding processes across our healthcare organization.
In this role, you will serve as a key partner in ensuring a seamless transition for new hires, internal team members, maintaining compliance with employment requirements, coordinating orientation programs, and supporting talent acquisition and HR operations. Key Responsibilities
- Coordinate and facilitate all aspects of the pre-employment and onboarding process for new team members.
- Schedule post-offer physical assessments, immunizations, and drug screenings with Team Member Health.
- Verify employment eligibility, professional licenses, education, references, veteran status, and criminal background screenings.
- Ensure all onboarding documentation is complete, accurate, and compliant with organizational standards
- Coordinate with Information Systems to establish usernames, passwords, and system access for new hires.
- Prepare and distribute orientation schedules, sign-in materials, communications, and new hire resources.
- Manage orientation logistics and coordinate mini orientations for employees who begin work before scheduled orientation dates.
- Create and distribute employee identification badges and parking decals.
- Maintain employee, agency, and personnel records while ensuring document accuracy and compliance.
- Serve as primary liaison with background screening vendors to address compliance updates and employment screening issues.
- Support onboarding activities for physicians, nurse practitioners, physician assistants, and other healthcare providers.
- Audit personnel files and update employee licensure, certification, and education records in applicable systems.
- Responsible for maintaining and tracking records of sign-on, relocation, and employee referral bonus payments.
- Provide outstanding customer service to applicants, employees, leaders, and external partners via phone, email, and in person.
Required Qualifications
Education
- Associate's Degree or equivalent combination of education and relevant work experience.
Experience
- Minimum of four (4) years of Human Resources, employee onboarding, recruitment support, healthcare administration, or related experience.
Skills & Competencies
- Strong knowledge of onboarding, employment verification, and HR processes.
- Excellent customer service and interpersonal skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite, including Excel.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Ability to handle confidential information with professionalism and discretion.
