Job Summary

The Employee Services Delivery Associate – Company Benefits Administration provides operational support for the administration of Employee Programs and assists in Car Plan Administration. The role is responsible for processing employee benefit transactions, maintaining accurate records, preparing reports, coordinating with employees and stakeholders, and ensuring timely completion of day-to-day operational activities in accordance with company policies and service standards.

Duties and Responsibilities

EMPLOYEE PROGRAM ADMINISTRATION

  • Administer assigned employee benefit programs, including Company Loans, Employee Care Kit,
  • Employee Perks, Maternity Cash Assistance, Bereavement Cash Assistance, and other employee assistance programs.
  • Process employee benefit requests from receipt and validation of documentary requirements through completion of the transaction in accordance with established policies and service level agreements (SLAs).
  • Prepare and process payroll endorsements, benefit endorsements, and other required documentation to support accurate and timely benefit administration.
  • Coordinate with employees, HR Business Partners, Payroll, Finance, Accounting, Procurement, and external vendors regarding benefit applications, inquiries, and transaction status.
  • Monitor benefit applications and ensure timely resolution of pending cases through regular follow-up with stakeholders.
  • Maintain accurate employee records, transaction logs, monitoring trackers, and electronic documentation.
  • Prepare recurring operational reports, utilization reports, and management updates related to assigned employee programs.
  • Respond to employee inquiries received through Helpdesk, email, Microsoft Teams, and other approved communication channels while ensuring a high level of customer service.

CAR PLAN ADMINISTRATION SUPPORT

  • Provide administrative support in the end-to-end administration of the Company Car Plan.
  • Assist in preparing Car Plan computations, amortization schedules, reimbursement processing, and monitoring reports.
  • Maintain and update Car Plan databases, monitoring trackers, and employee records.
  • Coordinate with employees, Finance, Payroll, vehicle dealers, insurance providers, and other stakeholders to facilitate timely processing of Car Plan transactions.
  • Assist in monitoring insurance renewals, vehicle registration requirements, reimbursements, and other recurring Car Plan activities.
  • Ensure completeness and proper filing of Car Plan documents in accordance with records management standards.

OPERATIONAL SUPPORT AND SERVICE DELIVERY

  • Ensure timely completion of assigned operational tasks while meeting established service level agreements and quality standards.
  • Maintain the accuracy, completeness, and confidentiality of employee records and benefit-related information.
  • Assist in the preparation of operational dashboards, service reports, and transaction summaries.
  • Support month-end, year-end, and ad hoc operational activities related to Company Benefits Administration.
  • Perform data validation and reconciliation to ensure consistency across HR systems, monitoring files, and payroll endorsements.

PROCESS IMPROVEMENT AND COMPLIANCE

  • Support the implementation of process improvements, digitalization initiatives, and operational efficiencies within Company Benefits Administration.
  • Participate in the review and updating of standard operating procedures (SOPs), work instructions, templates, and process documentation.
  • Assist in User Acceptance Testing (UAT), data validation, and system enhancement activities as assigned.
  • Ensure compliance with company policies, internal controls, audit requirements, and applicable data privacy regulations.
  • Perform other duties and responsibilities that may be assigned by the Immediate Head in support of business and operational requirements.
